We are looking for an enthusiastic Office Assistant to play a key role in creating an exceptional workplace experience in our Manchester office. This is a varied, hands‑on position where no two days are the same, offering the opportunity to support colleagues, welcome visitors, coordinate office activities, and help ensure the smooth day-to-day running of the office.
What You'll Be Doing
- Office Organisation: Maintain the presentation and upkeep of reception, meeting rooms, office spaces, and kitchen areas, ensuring all environments remain clean, organised, fully stocked, and welcoming.
- Visitor Experience: Provide a professional and friendly front-of-house service by greeting visitors, answering reception calls, handling enquiries, and directing communications appropriately.
- Administrative Support: Assist with a variety of administrative duties including processing expenses, managing invoices, handling post and deliveries, responding to email requests, taking meeting minutes, and tracking action points.
- Meeting Room Coordination: Manage the Outlook meeting room calendar, prioritise bookings, coordinate room allocations, and ensure meeting spaces are prepared and presentable.
- Supplier Management: Order office and kitchen supplies, liaise with suppliers, organise monthly prize purchases, coordinate catering requirements, and source products and services to support office operations.
- Hospitality & Workplace Experience: Prepare refreshments, coordinate breakfasts and lunches, set up catering, replenish kitchen supplies, maintain kitchen areas, and support a positive employee experience.
- Stock & Tuck Shop Management: Monitor inventory levels, replenish stock, manage the office tuck shop, conduct stock counts, and track income.
- Internal Communications: Update Manchester office display content and contribute to monthly updates for Regional Directors.
- Events & Employee Engagement: Support the planning and delivery of office events, seasonal activities, wellbeing initiatives, and employee engagement programmes.
- Logistics & Project Support: Coordinate pool car bookings, manage courier and postal services, support office projects, and work with multiple stakeholders to deliver activities successfully and on schedule.

What We're Looking For

- Customer-Focused Experience: Brings at least one year's experience in a customer-facing role and is confident engaging with visitors, colleagues, suppliers, and external contacts.

- Organisation & Attention to Detail: Effectively manages multiple priorities while maintaining accuracy and reliability.
- Technical Competence: Comfortable using Microsoft Office applications, particularly Outlook, Word, PowerPoint, and Excel.
- Team-Oriented Attitude: Adaptable, enthusiastic, and committed to supporting colleagues and contributing to a positive workplace culture.
