Reporting Lines and Key Relationships: The role reports to the Client Services Manager.
Position: Full-time, Permanent
Job Purpose: The Planning and Scheduling Co‑ordinator is responsible for end‑to‑end planning of broadcast events for new and existing clients in the most efficient and cost‑effective manner, working in a fast‑paced, high‑pressure environment. The co‑ordinator needs to be able to react quickly to ever‑changing requirements and work closely with commercial and operations departments to overcome challenges. The role will also undertake bookings and scheduling tasks working as part of the wider operational team to take responsibility of events from quotation stage, through scheduling and planning to the final billing stage.
Key Responsibilities:
- Be accountable for full planning of events liaising with clients and taking ownership for all parts of the planning process.
- Scheduling of internal and external technical components of the request and people resource.
- Ensure that the most efficient and effective methods of delivery for the event are undertaken, ensuring that best value for both client and NEP Connect are achieved.
- Maximize resource utilisation (internal & external satellite capacity).
- Booking of Travel for field staff.
- Self‑start attitude and willingness to deliver.
- Appropriate costings / draft and billing information to be correctly understood and entered into the Scheduall system.
- Provide accurate quotes using current rate cards.
- Proactively seek opportunities to be able to upsell services NEP Connect offer to the client.
- Administration of Scheduall system in line with business processes and needs.
Customer Focus:
- Develop and build effective relationships with external Customers (BBC, ITV, ITN, Sky, ETP etc).
- Build effective relations with internal departments including Commercial, Operations and Engineering teams to better understand customer needs.
- Assist with acquiring new business by constantly having a customer focussed attitude.
- React to immediate customer requests for broadcast bookings, including satellite capacity.
- Upsell where applicable to drive business growth and profitability for NEP Connect.
- Be flexible and embrace ever changing customer requirements in a fast moving environment.
- To schedule all field staff and drivers and inform them in good time of any changes to schedules.
Teamwork:
- Develop a harmonious, effective working environment for colleagues.
- Work closely with all Operations and Commercial teams offering assistance where appropriate.
- Build close relationship with NEP Connect NOC department and Broadcast and Communication Engineers.
- Ability to cope with pressures of ever‑changing client requirements by passionately working to deliver events effectively.

Essential Skills and Experience:

- Proficient in the use of Essential software: MS Word, MS Excel, MS Outlook.
- Ability to cope with pressure within a fast paced environment (News and Sport).
- Ability to work with own team and wider teams to overcome challenges and frustrations.
- To maintain and build on existing relationships with broadcast suppliers.
Desirable:
- Operation of ScheduALL scheduling system or 2 years’ experience of logistical planning.
- Proficient in planning broadcast events, creating detail schematic drawings used by both Network Operations Centre Control and Engineer (Uplink SNG Engineers), detailing all technical requirements and organising and scheduling all elements of the service.
- Experience of licensing of broadcast and communication frequencies with external companies and regulators.
- Understanding and familiarity of broadcast terminology and technology.
- Experience of quoting and invoicing.
Hours: Nominal 37.5 Hrs week and public holiday working. Pre‑approved overtime payable at 1.5 Time and half. This role encompasses a working pattern consisting of a nominal 5 day working week including rostered weekends one in three (pre‑scheduled at least 6 months in advance).
