We have a fantastic opening for a fixed term Group Operations Support Co-Ordinator to join our Group Operations Team.

Backstage our Backstage support teams are crucial to the delivery across all five of our venues: The NEC, bp pulse LIVE, Utilita Arena Birmingham, the ICC, and Vox. Including IT, Finance, Marketing, People, Legal, Safety and Procurement. Collaborating seamlessly with our frontline operational teams to create unforgettable moments for the millions of people that visit us each year.

About The Role

This role will provide a range of support services for Group Operations functions, to include meeting and diary co-ordination, financial administration, oversight and audit of management systems and management of information and data (IT) systems.

Day To Day You Will:

  • Provide coordination and administrative support for Group Operations, including Rigging and Mains management teams, manager diary scheduling, meeting logistics, and technical project meetings.
  • Manage financial processes for work orders and invoices, support FM contract and capital project teams, raise purchase requisitions, and verify invoices for authorization.
  • Coordinate safety management data (e.g., Fire Risk Assessments, safety meetings) and oversee Group Operations information systems including SharePoint and other data platforms.
  • Liaise with clients, media, advisors, City colleagues, and the public; support cross-departmental projects and ensure smooth communication and documentation.

About You

Our Ideal Candidate will have:

  • Proven background in senior secretarial and administrative support roles, with flexibility to adapt across varied responsibilities.
  • Skilled in drafting correspondence and basic reports, and confident in engaging professionally with a wide range of contacts.
  • Experienced in financial management and control systems.
  • Fully conversant with Microsoft 365 for document and diary management, ensuring efficient coordination and information handling.
