We are seeking an organised and proactive Project Administrator to provide essential support to our Estates and Capital Projects team. This role is key to the successful delivery of capital, refurbishment and maintenance projects across the College estate. You will work closely with Project Managers and Building Surveyors to ensure project information, documentation and financial processes are well managed, enabling projects to run smoothly, compliantly and efficiently. This is an excellent opportunity for an experienced administrator who enjoys working in a fast‑paced project environment and wants to contribute to improvements across an educational estate.
Key Responsibilities
- Provide administrative support across a portfolio of capital and refurbishment projects
- Maintain accurate project documentation, trackers, schedules and correspondence
- Organise project meetings, prepare agendas, take minutes and follow up actions
- Support financial administration including raising purchase orders, processing invoices and updating cost trackers
- Act as a central point of contact between internal teams, consultants and contractors
- Support procurement and contractor administration processes in line with procedures
- Maintain health & safety documentation and compliance records
- Update project databases and spreadsheets, tracking actions, progress, costs and key dates
- Work collaboratively across the Estates function to support the successful delivery of projects
What We're Looking For
- Previous experience in project administration, coordination or a similar role
- Strong organisational skills with the ability to manage multiple tasks and priorities
- Excellent written and verbal communication skills
- Good IT skills, particularly Microsoft Word, Excel and data tracking tools
- Experience supporting financial processes such as invoices, orders or budgets
- A proactive, flexible and team focused approach
