The main purpose of this role will be to support the Global Real Estate and Acquisitions Systems & Process Manager in maintaining the Global Leases Database and assist with the roll out of new global processes and procedures. Managed administration tasks for the Global Real Estate and Acquisitions team in order to ensure the accuracy, consistency, reliability and immediacy of property information used by the entire business.

Key Duties/Responsibilities:

  • Take secondary responsibility for the maintenance, controls & configuration of the global leases asset database, assisting with the coordinating of activities with the wider administration team as required.
  • Take ownership of maintaining and auditing lease data within Lucernex.
  • Update new properties to the system using the property portfolio, logging changes of ownership, fascia changes, property reference changes, landlord changes, rents, lease terms, floor areas, area managers etc. to ensure information is accurate and always up to date.
  • Assist the Global Leases System & Process Manager with global group controls record through Audit Board.
  • Act as a point of contact for Regional Property Teams following training and rollout of the Lucernex Real Estate assets database.
  • Act as second global system administrator for Lucernex.
  • Manage workloads for the wider administration team.
  • Scan and save legal documentation in the Property Database to ensure smooth audit reporting in relevant territories.
  • Build and maintain working relationships with the global surveyors/solicitors.
  • Arrange inspections for external agents ensuring confirmations are followed up.
  • Take ownership of the data for Business Rates, BID and SC liabilities to ensure the system is always accurate in terms of current occupational outgoings under each lease.
  • Synchronise and upload external data.
  • Provide accurate reports to the global business audience as and when requested.
  • Ensure information held both in electronic and hard copy formats are kept updated.
  • Liaise with Estates and Acquisition Surveyors on a regular basis, aiding in compiling necessary reports and assisting with day-to-day management tasks.
  • Take ownership of providing accurate information to Auditors to support the Group Property and the Group Financial Accountants.

Skills/Experience/Knowledge:

  • Solid understanding of the demands of database administration and trained in administration of the Lucernex Real Estate assets database.
  • A data inputting background within a property related environment with experience and understanding of global tenancy agreements.
  • Able to demonstrate a high degree of proficiency in the use of MS Office applications, particularly MS Excel, Outlook and Word.
  • Excellent attention to detail and first-class organisational skills.
  • Ability to work independently and as part of a team.
  • Knowledge of database design and an understanding of report writing within Lucernex.
  • Exceptional client focus, communication and interpersonal skills and able to communicate with external clients at every level.
  • Clear-sighted and imaginative for solutions and problem-solving.
  • Excel skills & knowledge of SQL server report writing.
