The core purpose of this role is to provide structured administrative support to the Contracts Team. The focus of the role is to support live contracts and capital projects by maintaining accurate contract registers, documentation and project tracking records. The postholder will ensure documentation is accurate, appropriately controlled and readily accessible, while maintaining high standards of communication with internal and external stakeholders. To demonstrate integrity, accountability and professionalism at all times in the performance of duties.

Responsibilities

  • Responsible for providing structured administrative support to the Contracts Team, ensuring accurate, compliant and well-controlled information management systems.
  • Responsible for producing high quality, accurate and appropriately version-controlled documentation and reports as required by the Management Team.
  • Support the preparation, collation and control of contractual documentation for live contracts, extensions, renewals, variations and new business submissions.
  • Assist in the coordination and tracking of supplier quotations, purchase orders and related documentation in accordance with internal commercial procedures.
  • Support the Accounts Team by providing accurate contract and project information to enable timely and accurate monthly reporting and reconciliation.
  • Ensure contract and project documentation is maintained in accordance with agreed filing structures, supporting audit readiness and internal governance requirements.
  • Proactively communicate with NAAFI outlets, suppliers and internal departments regarding ongoing live projects, ensuring information is shared accurately and in a timely manner.
  • Undertake any other duties as may be appropriate and required from time to time.
