We are looking for a highly motivated and proactive graduate to join our team as a Commercial Operations Assistant. This is an excellent opportunity for someone looking to start a career in the shipping industry and gain hands-on experience in commercial operations, vessel operations and the Brazilian market. No previous shipping experience is required. We are primarily looking for someone with a positive attitude, strong attention to detail, excellent organisational skills and a genuine willingness to learn and take ownership of responsibilities in a fast-paced environment.
Key Responsibilities
- Provide day-to-day administrative, commercial and operational support to the Commercial Operations Manager and the wider team.
- Assist with the day-to-day management of vessel operations and voyage administration activities.
- Liaise with third parties and Brazilian business partner on operational matters.
- Assist with the preparation, review and administration of charter parties, contracts and other documentation.
- Support invoicing processes, payment follow-ups, reconciliations and the maintenance of accurate financial records.
- Assist with foreign exchange settlements and other finance-related operational activities.
- Prepare and maintain operational reports, trackers, records and databases.
- Support the preparation, collection and maintenance of documentation required for operational, regulatory and tax compliance purposes in Brazil.
- Coordinate and follow up on operational matters and outstanding actions with internal and external stakeholders.
- Assist with document management, filing and maintaining organised records.
- Support with scheduling, meeting arrangements and general correspondence.
- Provide general administrative support and assist with ad hoc projects and tasks as required.
Requirements
- University degree in any discipline.
- Fluent in Portuguese and English, both written and spoken.
- Strong organisational skills and excellent attention to detail.
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office applications, particularly Excel, Word and PowerPoint.
- Ability to manage multiple tasks and prioritise competing deadlines.
- Proactive, hands-on and willing to take ownership of responsibilities.
- Positive attitude, enthusiasm and a strong willingness to learn.
- An interest in shipping, logistics or the energy industry would be an advantage.
Experience
- Previous experience in shipping or commercial operations is not required.
