Job Description

To support Central Stores administrative operations in relation to paperwork and data inputting completion and to assist in certain Procurement administration tasks for a portion of time.

Job Purpose

Provide administrative support for goods in‑wards and out‑wards, material control, quality and health & safety documentation, and procurement-related tasks, ensuring accurate data in SAP and timely communications with Finance, Procurement, Warehouse and suppliers.

Key Responsibilities & Accountabilities

  • Admin support to goods in‑wards and goods out‑wards in line with Navantia UK processes and procedures.
  • Provide support to various departments/stakeholders in relation to material control.
  • Assist with Quality and H&S documentation and protocols.
  • Deal with queries from Finance, Procurement, Warehouse and suppliers.
  • Raise Supplier Non‑Conformance Reports (NCRs) in support of projects.
  • Input and maintain inventory on SAP (e.g., Stock Levels, Descriptions, Cost Centres).
  • Run overdue and incomplete order reports for status escalation.
  • Assist with stock control and maintaining electronic records.
  • Assist the stores team with scheduled cycle counting, stock takes and audits.
  • Complete timesheet uploads for all stores personnel.
  • Generate stores requisitions for inventory replenishment.
  • Support with work orders to Steel Stock Yard to ensure on‑time delivery of materials to operations.
  • Assist in generating KPI’s for stores activities.
  • Complete timesheet uploads for all Procurement personnel.
  • Assist in processing any Procurement SAP requirements (PRs, reports, data inputting).
  • Assist with vending machine administration management – reports, invoicing and project codes.

Knowledge, Skills and Abilities

  • Strong organisational and planning skills.
  • Good communication, interpersonal and team collaboration abilities.
  • Good attention to detail and capable of multitasking with minimal errors.
  • Good IT proficiency in MS Office (Word, Excel) and ERP systems such as SAP.
  • Good problem‑solving and numeracy skills.
  • Ability to work under pressure and adapt to changes.

Qualifications

Desirable experience – previous experience working in a similar administrative role within a Stores or Procurement function.
