RESPONSIBILITIES & DUTIES

  • Programme / Project Support (Primary Focus)
    • Own and maintain the CDRL tracker as a live control document
    • Ensure all CDRL deliverables have clear owners, dates, and status
    • Proactively chase inputs and manage deadlines
    • Align deliverables to the CMS (working with Scheduling) and reporting milestones
    • Provide weekly/monthly reporting on deliverables status and risks
    • Maintain central action and decision logs from leadership meetings
    • Capture and track actions, owners, and deadlines
    • Actively follow up and close out actions
  • Governance & Reporting
    • Coordinate inputs to monthly MoD / GSO / programme reporting cycles
    • Ensure submissions are complete and aligned
    • Support preparation for reviews, boards, and governance gates
  • Document Control
    • Manage document systems (SharePoint / Windchill, for the FSS Programme – POC for access etc.)
    • Ensure version control, naming conventions, and auditability
    • Control transmittals (uploads to Windchill for Monthly Submission, BMT transmissions etc.) and formal submissions to GSO
    • Maintain records of approvals and issue history
    • Flag risks linked to late or poor-quality CDRL deliverables
    • Support updates to risk/issue logs where relevant
  • Administrative Support (Secondary Scope)
    • Schedule and organise meetings, reviews, and governance forums
    • Manage agendas, minutes, and action logs
    • Maintain distribution lists and communications
    • Support document formatting, pack collation, and issuing

QUALIFICATIONS, SKILLS & EXPERIENCE

  • Mathematics and English GCSEs (or equivalent) at Grade C or above
  • Between 1-2 years’ experience in a busy administration role
  • Strong attention to detail
  • Be strong with MS Excel, MS PowerPoint, MS Word
  • Good organisational skills and the ability to work on own initiative
  • Good communication skills with ability to deal with enquiries
  • Ability to multi-task, manage deadlines and workload
  • HNC in Engineering (or similar)
