Job Purpose / Overview
To provide comprehensive, consistent and efficient support to departments within Capital Programmes and Transformation, ensuring the successful achievement of company and departmental business objectives following agreed processes and workflow.
Other Duties
- Management Support: Provide PA & management support to the Director, their leadership team, wider business area and external consultants. Key responsibilities include complex diary management, coordinating key management meetings and events (including European forums), working with internal and external stakeholders, collating management information for key forums, providing meeting secretarial services and handling various ad‑hoc requests. Produce monthly reports including the monthly TU L3 Report and high‑level successes for the monthly CPTLT Corporate Report, arrange retrieval of company property from leavers, and support travel bookings.
- Communications, Navigations & Surveillance Sites (CNS): Provide business support to ensure all technical FM services are maintained. Responsibilities include purchasing, receipting, contractor engagement, audit management, resolving queries, purchase card purchases, travel and conference bookings, meeting support, updating spreadsheets and financial monitoring.
- Safeguarding: First point of contact for safeguarding applications. Receive application requests, sift and assess, distribute to relevant technical and air traffic control operational assessors, maintain databases, compile assessment results and recommendations, and respond to local planning authorities and airport customers. Provide administrative support to the safeguarding team as required.
- Recruitment Support: Provide effective administration support for recruitment and onboarding of tier‑2 contracted staff, maintain contract information, ensure renewal of contracts, arrange security clearance and IT access for tier‑2 contractors.
- Reporting: Create reports for various stakeholders across CPT on a weekly, fortnightly or monthly basis using tools such as Q Pulse, Business Management System (BMS) and Safety Tracking and Reporting (Star). Follow up for information as needed from report findings.
- Central Maintenance Services Support: Manage repairs sent to contractors and manage test equipment loans and calibration support. Provide SAP support for the CMS team, including opening and closing work orders, purchasing via Ariba and credit card, receipting, resolving queries and ensuring invoices are reconciled and paid timely. Produce monthly and weekly reporting for both NSL and Engineering teams. Provide software registration and replication service.
- SIMS Support: ACE and Airport Helpdesks support: monitor, action and assign emails on helpdesk via ServiceNow. Capture all information, ensuring progress and completion. Attend weekly team meetings to review progress.
- Integrated Logistics Support (ILS): Provide business support to ILS for change requests (including COSART/IMP updates), maintenance schedules, purchasing tasks, and stock activities. Liaise with suppliers and manage material requests. Produce and maintain weekly and monthly reports and KPIs, ensuring accuracy, timeliness and availability for Power BI reporting.
- Technical Training Services: MyDevelopment reporting, pre‑joiner accounts resolution, adding of delegates, interest trackers. Supporting the CAT Process. Management of mailbox, website updates, maintaining the professional bodies schedule. Room bookings, speakers/travel booking and tracer requirements, invoicing customers.
- Support: Work for a variety of stakeholders to support their teams using bespoke software. Duties include service design and governance meetings, safety culture support, booking of TADS, updating ATOTN. Ensure all engineering equipment used on operation systems remain fit for purpose by keeping SAP up‑to‑date and calibrating appropriately. Update temporary engineering instructions (TEIs) for on‑site operational engineers. Arrange purchasing of equipment and services via ARIBA or purchase card, ensuring costs are allocated to the correct business area. Assist NATS Engineering Service Line in administrative tasks such as purchasing, SharePoint admin, reporting and Q Pulse activities. Provide support to Doc CM. Design, develop and maintain the HUB and SharePoint online sites (LIM). Manage mailbox for timesheets and purchasing requests. Cross‑train for leave cover and resilience.
Essential Skills and Experience
- Minimum GCSEs in Maths and English
- Excellent knowledge of IT applications – Office 365, SharePoint, etc.
- Good knowledge of NATS and its procedures
- Knowledge (or ability to learn) of supply chain management procurement tools (ARIBA) and SAP functionality
- Self‑motivated with excellent attention to detail and an ability to follow well defined processes
- Ability to prioritise tasks according to business needs
- Held in high regard by colleagues, noted for credibility
- Must work to strict timescales and adapt quickly to changes
- Excellent interpersonal and communication skills, able to work autonomously and as part of a team, sharing knowledge and resolving issues
