Project and change management (In partnership with Head of Workplace)
- Development and management of projects to support the workplace environment, from initial concepts through to project planning, financial management, resource management, risk management, communication management and overall project delivery.
- Manage projects in accordance with governance framework.
- Lead change management initiatives across business units that facilitate the transition to new workplace models ensuring effective communication and stakeholder engagement throughout the process.
Workplace (In partnership with Head of Workplace)
- Expertise in occupier experience design, change management, space planning, and occupancy metric.
- Active stakeholder engagement with departmental representatives and leads across a variety of topics (Workplace, Facilities, End User Occupation etc).
- Align and engage business representatives in change management activities connected to hybrid working.
- Co-ordinate any space utilisation requirements including move management processes (furniture changes, desk moves etc).
Technology, Data Analytics and Data driven decision making (In partnership)
- Data literate and experience embedding within colleagues and departmental activities.
- Familiarity with space analytics (occupancy data, utilisation dashboards) and data visualisation.
- Leverage technology for smart building and asset management and integrated workplace management systems e.g. CAFM, energy management software, BMS.
- Implement KPIs to measure effectiveness of Statutory Inspections and PPMs.
Supply Chain Management and procurement (Accountable Owner)
- End to end management of contract renewals / new contracts including scope definition, KPI, contract negotiation and appointment.
- Alignment with BPCE Achats and local procurement policies for RFP and Contract appointment.
- Identification and assessment of potential suppliers and development of RFP’s.
- Ongoing relationship and performance management of contractor against defined scope and KPIs (hard and soft services).
- Development of metrics for supplier performance and management of under performing suppliers.
- Escalation route for Workplace Helpdesk team on supplier performance.
Sustainability (Accountable Owner)
- Develop and implement sustainability strategies across facilities management operations.
- Ensure compliance with environmental regulations and industry standards.
- Submission of regulatory reporting (risk, audit evidence) and climate related disclosures.
- Align with BPCE Sustainability teams for initiatives and cross border reporting.
- London lead for identification and implementation of energy efficiency and waste management opportunities.
General Facilities Management Including H&S (Accountable Owner)
- Ensure all Statutory Inspections and PPMs are performed and remedial actions completed to ensure compliance with H&S legislation, ACOPS and British Standards.
- Ensure contractors and visitors uphold Natixis safety policies.
- Asset management including end of life, like for like replacements and/or alternative solution assessment.
- Utilise departmental and company tools to co-ordinate activities associated to the supply chain (e.g. CAFM).
- Utilise the Building Management System (BMS) to identify potential failings in equipment and/or adjust local temperature management.
- DSE, fire safety, and evacuation governance with documented training and drill cadence.
Physical Security (Accountable Owner)
- Complete administrative actions in physical security software ensuring accesses are in line with Natixis policies and information barriers.
- Manage CCTV and other security systems with prompt reporting and escalation of issues as required.
Reporting and Risk Management (In partnership with Head of Workplace)
- Operational Risk lead for Workplace identifying potential risks, strategies to derisk, own resolution activities.
- Complete First Line of Defence control activities and report findings within Natixis risk tools.
- Collate monthly reports including KPI metrics, key activities, workplace occupancy, risks, H&S, ESG and operational successes.
- Align and develop Standard Operating Procedures.
- Collate and evidence Statutory Inspection, British Standards and ACOP for internal and external audit/reviews.
Qualifications (desirable)
- Member of the Institute of Workplace and Facilities Management (IWFM).
- PRINCE2 Foundation.
- DSE Assessor.
- IOSH Working Safely.
- Evacuation Marshal.
- First Aider at Work.
