The Contracts Coordinator will play a vital role in driving and supporting the Project Management team by ensuring the smooth execution of project activities through exceptional organisational and office-based activities. This position is ideal for a proactive, detail-oriented individual with excellent communication, multi-tasking skills, and strong organisational qualities who thrives in a fast-paced environment.

The role involves:

  • Initial introduction of Project Delivery Team (Commercial Lead, Site Contact, Office Contact, Design Contact) to client, sending a ‘welcome’ email containing project pack to set out our expectations
  • Gain project programme from client and prepare project plan to identify key dates and potential lead-time issues
  • Review of design against the contracted scope of works and equipment list, and any Variations against the initial design
  • Raise RFI’s from the Design Team
  • Prompt Project Managers to order equipment based on the programme
  • Procurement of equipment from Project Managers purchase requisitions and quotes obtained by the Design Team
  • Ensuring Contract Budget Sheets are kept updated in relation to purchase order values versus budget allowed
  • Ensure RAMS are provided to client by Project Managers before site works commence
  • Manage and chase supplier delivery dates to allow Project Managers to book in site deliveries
  • Proactively manage progress against programme throughout the project life cycle
  • Ensure progress of site works is provided by the Project Managers to the Project Finance and Quality Manager to allow Applications to be completed accurately and in a timely manner
  • Monitor the “Project Admin” email inbox and take action where necessary
  • Add actions to project plan and file site reports in correct folders
  • Send Commissioning Notices along with final site reports to client
  • Produce Subcontractor particulars – contract details and our expectations regarding invoicing for their works
  • Conduct final credit checks before allowing Commissioning to be carried out
  • Issue formal close-out packs to clients upon project completion (O&M manuals, IFC Certification, Commissioning Certification)
  • Maintain a calendar for all PM’s movements
  • Pre-planning and booking of commissioning labour within the Engineering Labour calendar
  • Support Project Quality Officer and Compliance Team with pre and post commissioning audits

Key experience / Qualifications:

  • Previous experience in a project delivery environment or time critical organisational role
  • Exposure to budget tracking and procurement processes
  • Experience within the construction, HVAC or fire alarm industry would be advantageous

Knowledge and Skills:

  • Excellent organisational skills with the ability to manage multiple tasks and delegate time critical tasks with confidence
  • Comfortable working both independently and as part of a team and taking initiative to follow up with stakeholders
  • Strong communication and interpersonal skills
  • Strong numeracy and accuracy in data entry
  • Proactive and self-motivated
  • Ability to multitask, prioritise workload and work to tight deadlines
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
