About the Role
The Imperial War Museums' Institute for the Public Understanding of War and Conflict (IWMI) is our thoughtâleadership and knowledgeâexchange hub, delivering a dynamic programme of public talks, debates, workshops and digital content. We use IWM's worldâclass collections and network of global experts to help audiences make sense of conflict today.
As we enter an exciting next phase of development, we're looking for an organised, proactive and enthusiastic Operations Coordinator to join our team at IWM London. You will play a key role in ensuring the smooth delivery of our live and digital programming, supporting our Associate network, and coordinating the operational heartbeat of the IWMI. This role works closely with colleagues across IWM, external partners, and a wide range of contributorsâand includes some evening and weekend work (with TOIL provided).
Responsibilities
- Lead operational and production coordination for IWMI public events, including symposia, talks, workshops, game jams and Associate programming.
- Prepare event briefs, schedules and project plans, working closely with Operations and Facilities teams.
- Floorâmanage events and recordings, overseeing logistics, room/stage setup, talent liaison, audience engagement and data gathering.
- Coordinate internal and external stakeholders such as AV teams, editors, designers, photographers, volunteers and visitor experience teams.
- Manage ticketing setup and administration in collaboration with the IWM Ticketing Team.
- Support creation of promotional digital content, liaising with designers and videographers.
- Oversee capture and postâproduction processes for event photography and recordings.
- Support development and delivery of collaborative projects and exhibitions across IWM.
- Assist with managing the IWM Associate network, including onboarding, documentation, process development and data tracking.
Digital & Website Management
- Maintain and update the IWMI hub on the IWM website.
- Develop and upload event pages to support SEO, audience engagement and ticket sales.
- Oversee online presence for the Associate network and improve how activity is showcased digitally.
Financial & Administrative Support
- Manage financial processes including supplier coordination, invoicing, contributor payments and budget preparation.
- Support administration of casual staff and volunteers, including rostering and payroll tasks.
- Collate evaluation data and produce postâevent reports using both qualitative and quantitative insights.
- Provide wider administrative assistance to the Programme & Networks Manager and Content & Programming Manager as required.
