Job Purpose
The National Wealth Fund are currently recruiting for a Executive Assistant to join our Leeds office on a 6 month fixed term contract.
Location: Leeds – 3 days a week in the office.
Salary: £31,500
Purpose Of The Role
As an Executive Assistant you will be providing personalised and timely secretarial and administrative assistance to members of our Banking and Investment team.
Key Accountabilities
- Manage diaries, set up of meetings and share relevant documents to ensure effective prioritisation of time and preparation for meetings
- Provide a tailored management of emails and phone calls including responses, to ensure timely and accurate prioritisation and management of information flow
- Organise and maintain filing of information across Microsoft systems to enable efficient accessibility and maintenance of confidentiality
- Co-ordinate the commissioning and provision of briefing materials to assist the business deliver within deadlines
- Provide logistical assistance for meetings including greeting visitors and IT set up, to ensure smooth and timely delivery of meetings
- Make travel arrangements to ensure timely and effective arrival at destination
- Take minutes as required at meetings including team and Board meetings to ensure accurate and consistent records across the business
- Assist with general administration tasks including compiling of expense claims, formatting documents, assisting with IT trouble shooting or following up on IT issues to contribute to the efficient management of the business
- Work with the Senior Executive Assistant, HR, Facilities and business team to coordinate induction arrangements and be a point of contact for new starters to provide a positive colleague experience
- Coordinate the completion of actions and assist with ad hoc project activities to ensure the project is delivered on time and of a high standard
- Assist the business area to deliver against relevant company policy eg gifts and hospitality etc and make recommendations for functional process changes were necessary
- Assist other Executive Assistants and/or C Suite colleagues as required to ensure continuous cover and efficiency of the business
- Proficient and in-depth knowledge of relevant software such as MS Office Suite including Outlook, Word, Excel etc
