Main purpose of the role

Responsible for facilitating HR administration activity across the HR function to ensure a smooth and efficient service, that is compliant with HR procedures and SOX requirements.

Scope of Role

  • Key business stakeholders: HR Team, Employees, Team Leaders, Supervisors, Managers bands A - F
  • Business escalation points: Managers, Operational Leadership Team
  • HR escalation points: HRA’s/HRBPs/HRD
  • Geography: Primarily office-based

Key Responsibilities

  • First point of contact for queries coming into HR, either in person, via the HR Inbox/postbox/incoming calls/voicemail, responding or redirecting as necessary to the appropriate person.
  • Ensure internal and external recruitment processes are carried out in a professional, structured, and consistent manner and compliant with regulatory and legal requirements (including ensuring RTW documentation is received, processing all new starter paperwork and issuing ID cards as necessary).
  • Send offer letters, contracts of employment and welcome emails.
  • Provide guidance to line managers on the recruitment process.
  • Carry out DBS checks for starters and rechecks in accordance with the DBS policy, escalating issues where necessary.
  • Administer Flexible Working applications.
  • Processing changes to T&C.
  • Managing expiry of right to work evidence, escalating as necessary.
  • Administer HR related benefits and schemes, such as Bupa, Telus, Recommend a Friend, Specsavers, Sharesave, Life Assurance and any other benefits programmes/schemes that are in operation.
  • Ensure the relevant HR Databases are up to date and maintain HR records/personal files.
  • Administer the Long Service Award scheme, retirement awards and any recognition schemes in place (as relevant).
  • Monitor sickness absence, escalating issues to managers/HR Advisers as appropriate.
  • Process invoices and liaise with Accounts accordingly.
  • Manage stationery supplies and place orders as necessary.
  • Produce regular and ad-hoc reports as required.
  • Respond to reference requests, escalating any issues as necessary.
  • Administer Onboarding and Training course requirements.
  • Process ‘Leave’, such as maternity, paternity, Jury Service etc.
  • Processing leavers.
  • Ensure WI are kept up to date, obtaining approval prior to changing any HR process.
  • Any other reasonable requests/ad-hoc duties, as required.
