This position of Regional Supervisor is a 1‑year fixed‑term contract to cover maternity duties, 38 hours per week (four days, 9.5 hours each) including occasional Saturdays. The role requires flexibility for shift covering and overtime, with the supervisor based in the Finchley clinic and ready to travel across all our Greater London clinics.

The post holder will ensure the principles of patient, carer and public involvement are followed in line with The Health and Social Care Act 2012, safeguard children and vulnerable adults, and meet the standards of the NICE Quality Standard for Patient Experience.
Job Responsibilities
- Administration Supervision: Lead by example and work with staff to deliver consistent, patient‑oriented services. Delegate responsibilities fairly, provide advice and guidance. Compile staff rotas, authorise annual leave, support recruitment, induction and training. Ensure legal and statutory documentation is accurate, timely and safely stored.
- Service Delivery: Deliver a patient‑centred, confidential administration and reception service. Take and manage appointment bookings, greet patients, maintain strict confidentiality. Coordinate diaries with rotas, keeping wait times minimal. Collaborate with clinical staff on patient needs and queries.
- Safeguarding: Uphold safeguarding policies for children, young people and vulnerable adults. Maintain up‑to‑date DBS checks and follow organisational procedures.
- Administrative Operations: Prepare patient records, trackers and registers; file and archive appropriately. Submit monthly quality reports regionally and provide training on the INFORM system. Perform cashiering, word‑processing, photocopying, faxing and filing duties.
- Health & Safety: Adhere to COSHH, infection control, hazardous waste disposal and health & safety policies. Maintain equipment register and handle biological samples safely.
- Confidentiality: Respect data protection, confidentiality policies and information governance standards. Disclose no confidential information without authorization.
- General: Support women's right to request an abortion and perform any other related duties. Communicate openly with colleagues and patients; observe highest personal and professional standards. Adhere to the smoke‑free workplace, safety rules and professional registration requirements.
Person Specification
- Experience: Essential: 2 years experience in an administrative role with face‑to‑face public contact. Desirable: Significant admin experience in a care environment dealing with anxious patients.
- Qualifications: Essential: Secondary standard of education or NVQ Level 2 equivalent; computer literate with keyboard skills; knowledge of systems, procedures and programming; competent in administrative procedures; good communication and interpersonal skills. Desirable: Knowledge of the Abortion Act and Sexual Health Issues.
