The predicted salary is between 11 - 16 £ per hour.
Main duties and responsibilities include working alongside the Senior Administrator to provide efficient and effective administrative support to the Partnerships Service Manager, Team Manager and Practitioners, within NSPCC Procedures and Core Standards. This may include providing administrative support to other teams on a virtual basis. Some travel may also be required.
Providing an efficient and effective reception service, which includes regularly acting as the first point of contact for children and young people visiting the centre, looking after them before appointments, accompanying them to meeting rooms, and supervising them on their return to reception.
Administrative Support:
- Audio/copy type letters, memos, case records, and other documents.
- Utilise the NSPCC Children's Information Database to enter referral details and process information/update database as appropriate.
- Deal with incoming/outgoing mail/emails including opening and distributing mail/emails, responding to basic enquiries, and cross-referencing correspondence received to individual case files.
- Undertake routine administrative tasks such as photocopying, faxing, shredding and filing.
- Organise and minute meetings/events, including co-ordinating dates, booking venues, and organising refreshments.
- Maintain diaries for the team, including making appointments on their behalf.
- Troubleshoot minor computer problems for the team, taking advice from Information Services department as necessary.
Reception / Switchboard:
- Answer calls, take messages or direct calls.
- Pass on answering machine messages.
- Receive clients and visitors to the office, including children and young people, and direct them or inform colleagues of their arrival as appropriate.
- Ensure that appropriate security measures such as signing in and out and wearing visitor passes are followed.
- Ensure that all callers and visitors are dealt with sensitively, courteously and efficiently.
- Ensure that areas where visitors are received are kept tidy at all times.
Any other job-related duties as assigned:
A flexible approach to work is essential. The post holder may be required to adapt the above duties to take account of changes to working practices.
