The Business Administrator plays a key role in ensuring the smooth operational delivery and compliance of funded and commercial training programmes across the Construction, Utilities, and Green Skills sectors. This includes managing learner onboarding, monitoring progress through e-portfolios, and ensuring all data and documentation is accurately processed to support full funding drawdown and audit requirements. The role also supports ISO management systems and delivers high-quality front-of-house and administrative support while contributing directly to funding success and learner retention.

Key Responsibilities

  • Input accurate learner and course data into CRM and funding platforms to ensure full audit compliance
  • Track learner milestones and evidence completion in line with contract KPIs (start, engagement, completion, and progression targets)
  • Ensure all data aligns with relevant funding rules (e.g. Skills Bootcamps, AEB, WHSP)
  • Prepare and submit documentation for monthly claims to enable maximum drawdown of funds
  • Support funding audits, internal reviews, and compliance observations
  • Maintain trackers and evidence logs to demonstrate contract delivery performance
  • Manage learner records and progress through e-portfolio platforms (e.g. OneFile, Bud, Smart Assessor)
  • Prompt learners to complete tasks and assessments; escalate non-engagement to delivery teams
  • Liaise with tutors and delivery staff to ensure regular updates and timely marking
  • Use system alerts to monitor inactivity and proactively re-engage learners
  • Log and document all learner touchpoints to maintain a clear audit trail
  • Deliver reception duties: meet and greet candidates, manage visitors and sign-in processes
  • Maintain the training centre’s professional appearance and safety (canteen, corridors, signage)
  • Prepare training rooms, organise course consumables and equipment in advance
  • Print, collate, and distribute course paperwork and registers
  • Notify awarding bodies of planned courses, assessments, and certifications
  • Manage certification processes: upload photos, confirm results, issue certificates to clients
  • Book travel, accommodation, and offsite training venues where required
  • Administer and contribute to ISO 9001, 14001, and 45001 processes
  • Assist with internal audits, document creation, version control, and quality checks
  • File, scan, archive, and maintain digital compliance records
  • Raise POs, match invoices, and support credit control activities
  • Liaise with suppliers for course materials, travel bookings, and kit hire
  • Monitor and reorder stock for training delivery and centre maintenance

Key Skills & Experience

Essential:

  • Minimum 2 years’ experience in administrative or compliance roles
  • Strong attention to detail and ability to manage high volumes of data accurately
  • Familiarity with funded training environments and audit processes

Desirable:

  • Working knowledge of government-funded training contracts (e.g. AEB, Bootcamps, WHSP)
  • Previous use of learner management systems (Bud, OneFile, etc.)
