The predicted salary is between 30000 - 40000 £ per year.

We're looking for someone who enjoys being at the centre of activity and takes pride in making things happen. You'll be naturally organised, proactive and dependable, with the confidence to manage multiple events simultaneously without losing sight of the finer details. You'll be someone who enjoys meeting people, building relationships and creating positive experiences. You're equally comfortable discussing event plans with a wedding couple, negotiating with a corporate client or coordinating operational details with colleagues behind the scenes. You will be commercially aware, motivated by results and always looking for opportunities to improve the client experience while supporting revenue growth. Most importantly, you'll bring a positive attitude, a willingness to learn and a commitment to maintaining the high standards expected throughout the Club.

Responsibilities

  • Respond to all event, wedding and commercial venue hire enquiries in a timely and professional manner.
  • Act as the primary point of contact for clients from initial enquiry through to event completion and final invoicing.
  • Proactively follow up enquiries to maximise conversion rates and secure new business.
  • Manage the Club's wedding business, including venue show rounds, proposal preparation, planning meetings and coordination through to event delivery.
  • Conduct venue tours and client meetings to showcase the Club's event spaces and services.
  • Create bespoke proposals, quotations and event packages tailored to client requirements.
  • Build strong relationships with members, wedding clients, corporate clients and third-party event organisers.
  • Identify opportunities to upsell food and beverage packages, room hire, entertainment, AV services and other event enhancements.
  • Maintain post-event communication and feedback records to encourage repeat business and referrals.

Event Planning & Coordination

  • Coordinate all event details from enquiry through to operational handover and event delivery.
  • Prepare detailed Banqueting Event Orders (BEOs), function sheets and event briefs for all events.
  • Ensure all event information is accurately recorded within the Club's CRM system and communicated effectively to operational departments.
  • Work closely with Kitchen, Food & Beverage, Operations, Banqueting, Housekeeping and Finance teams to ensure successful event delivery.
  • Attend weekly event meetings and provide updates on upcoming events, sales activity and revenue opportunities.
  • Maintain event planning timelines and ensure all client requirements are delivered to a high standard.

Club Events & Ticketed Events

  • Assist with ticket sales administration, guest list management and seating plans for Club events.
  • Support live event delivery, including occasional evening and weekend attendance where required.

Commercial & Marketing

  • Support the achievement of departmental revenue targets through effective enquiry management and sales conversion.
  • Work with third-party booking platforms and venue-finding agencies to maximise event opportunities.
  • Assist with marketing initiatives to promote the Club's event spaces, wedding offering and commercial services.
  • Support the creation of sales materials, promotional content and online venue listings.

Administration & Finance

  • Prepare contracts, deposit requests and invoices in accordance with Club procedures.
  • Track deposits and balances, ensuring payments are received within agreed timescales.
  • Maintain accurate records within the Club's CRM system (NorthStar).
  • Ensure all event documentation is completed accurately and on time.
  • Provide administrative support and reporting as required by the Head of Commercial.
  • Undertake any other reasonable duties delegated by the Head of Commercial.

Key Requirements

  • Excellent written and verbal communication skills including written English and an active listener.
  • Well organised with the ability to prioritise, good attention to detail, effective multi-tasking, and time management skills.
  • Excellent customer service and interpersonal skills with a flexible, approachable and diplomatic approach.
  • Ability to develop collaborative working relationships at all levels.
  • Ability to work as part of a team and on own initiative without supervision.
  • Ability to work independently and manage own workload.
  • Resilient with the ability to keep calm and work well under pressure.
  • Experience of planning and coordinating many events simultaneously.

  • Computer literate, including proficiency in all Microsoft Office programmes.
  • Reliable with patience and professionalism.

Experience & Knowledge

  • Minimum of 2 years’ experience in an Event sales/planning role.
  • Experienced user of CRM systems.
  • Budget management experience.
  • Good working knowledge of office equipment.
