Overview

As Administration Manager, you will lead the busy administrative team to ensure smooth daily operations and high-quality patient service. You will work within a multi-disciplinary practice focused on community care, driving efficient workflows and supporting clinical staff. You will oversee recruitment, training, rotas, and process improvements to boost uptake in screening and recalls. This role offers visibility in senior management and an opportunity to shape practice operations in a patient-centered environment.

Responsibilities

  • Lead and manage the administrative team, including recruitment, training, performance monitoring, and rotas
  • Attend and contribute to management and clinical meetings, with minute-taking as required
  • Oversee workflows: referrals, medical records, recalls, screenings, registrations, coding, and data handling
  • Drive process improvements to streamline administration and increase efficiency and screening uptake
  • Coordinate administrative recall searches and monitoring (safeguarding, proxy access, blood recalls)
  • Serve as rota lead and support trainee placements, liaising with deanery and universities
  • Ensure compliance with NHS standards, data protection, policies, and complaints handling
  • Maintain high standards of customer service and support patient engagement through PPGs
  • Monitor attendance and support policy compliance, data protection, and DS Toolkit returns
  • Prepare and update policies and procedures; communicate changes across the practice

Key requirements

  • NHS administration experience
  • Experience with EMIS web/ERS or similar systems
  • Leadership experience and ability to manage a team
  • Ability to manage complaints and customer service in a healthcare setting
  • Strong IT skills and reporting capability
  • Knowledge of data protection and information governance (DS Toolkit, GDPR)
  • Experience coordinating trainee placements and working with external organisations
  • Ability to work in a fast-paced environment and manage multiple priorities
  • Excellent communication (verbal and written)
