Overview
In this role you will work closely with the Group Manager to keep the practice running smoothly, uphold quality and safety standards, and coordinate administrative and clinical services. You will help implement systems, support staff development, and ensure a positive, patient-centered service. The role involves cross-functional collaboration to resolve issues, manage rotas, and support compliance and patient feedback processes. This is a hands-on position at scale that shapes everyday patient care and team performance. You will join a mission to deliver high-quality care across multiple GP practices.

Responsibilities
- Support day-to-day management and smooth operation of the practice
- Monitor and improve quality, performance, and service standards
- Implement practice systems, processes, and statutory requirements
- Collaborate with the team to identify issues and improve workflows
- Prepare clinical rotas and book locum clinicians per SPC guidance
- Induct, train, assess competencies, and develop team members
- Coordinate mandatory training, appraisals, and staff reviews
- Support CQC compliance, clinical governance, incident management and complaints
- Maintain systems for patient feedback receipt and response
- Support PPG activities including meeting prep, agendas, actions, and communication
- Assist with Health & Safety, premises, security, repairs and equipment maintenance
- Support income generation and claims (enhanced service, PPA)
- Oversee procurement and stock management for medical and practice supplies
- Support Smartcard audits and other IT systems
- Maintain patient information screens and assist with IT queries
- Promote effective communication and teamwork across the practice
- Identify quality, safety and operational risks and escalate appropriately
- Take on specific projects, improvement work and other duties as required
Key requirements
- Experience in reception, customer service or similar patient-facing role in a senior/deputising capacity
- Experience in a GP practice or primary care setting
- Experience leading, supporting or coordinating a team
- Excellent verbal and written communication
- Proficient IT skills including Word, Excel, and email
- Ability to work confidently within established processes
- Personable, professional and patient approach
