We are looking for a Ward Administrator to join our Day case and inpatient Surgical ward teams. The post holder will ensure patients, visitors and staff receive professional and polite assistance at all times.
Main duties of the job include:
- Working as part of a multi-disciplinary team to provide high quality administrative and clerical support to the day surgery team.
- Booking appointments for tests, preparing notes for admissions, coordinating with different departments, ordering stocks, and completing daily reports.
- Preparing patient notes ready for the nurses to admit.
- Completing daily work hours and recharge templates.
- Ensuring internal worked hours are completed daily and correctly by all staff.
- Filing patient notes correctly.
- Carrying out photocopying and printing patient post-operative leaflets.
- Printing the To Come In patient list and theatre list for the following day.
- Ordering stores and agency staff on Proactis.
- Printing off pathology results.
- Receiving phone calls for patients to go to theatre and to collect patients from recovery.
- Receiving incoming telephone calls to the unit and taking messages from all departments.
- Making outpatient appointments for patients.
- Accessing online test results for Consultants.
- Ensuring the ward diary is kept updated with patients and staff training.
- Producing activity statistics monthly.
- Reporting problems to Estates/IT and ensuring issues are rectified in a timely manner.
- Participating in support and supervision, appraisal and performance development.
- Identifying issues of concern at work and alerting appropriate staff members.
- Acting as an effective team member.
Person Specification:
Essential experience includes:
- Well established numeracy and literacy skills (GCSE or equivalent, at grade C or above in Mathematics and English).
- NVQ at level 3 or above in Business Administration (or equivalent) desirably.
- Evidence of IT skills and computer data input.
- Previous experience of working in a healthcare environment.
- Evidence of general clerical experience.
- Experience of record keeping.
- Evidence of excellent customer care skills.
- Experience in liaising with people and staff at all levels.
- Ability to work on own initiative and also as part of a team.
- Professional appearance.
- Ability to prioritise own workload in a highly pressurised working environment.
- Highly motivated, enthusiastic, proactive individual with excellent communication and interpersonal skills.
- Previous relevant reception experience working in a medical environment.
