Overview
In this role, you will lead the day-to-day operations of a primary care site and help develop consistent systems across the multi-site practice group. You will work with GP Partners, clinicians and administrative staff to ensure safe, efficient and patient-focused services. The role combines operations, HR, compliance, finance and digital systems to improve access and quality of care. This is a hands-on, proactive leadership position with a clear impact on service delivery and group development.
Responsibilities
- Oversee day-to-day running of the practice and ensure services operate effectively
- Coordinate staffing, workflows, rotas and operational arrangements
- Ensure systems are in place to maintain safe and effective patient services
- Identify operational problems and implement practical solutions
- Support consistency of policies and practices across the practice group
- Maintain business continuity and emergency planning
- Monitor service performance and report to Partners and Senior Management
- Provide leadership to reception, administration and other practice teams
- Lead recruitment, induction and probation processes
- Coordinate staff training and mandatory training
- Manage attendance, sickness, conduct and capability matters
- Support communication between clinical, administrative and management teams
- Ensure staff understand responsibilities and follow procedures
- Support compliance with CQC, NHS contractual requirements, information governance, health and safety
- Oversee information governance, data protection and records management
- Review and update practice policies and procedures
- Support safeguarding arrangements and monitor training
- Promote accessible, responsive and patient-focused services
- Monitor patient feedback and drive patient experience improvements
- Manage complaints and significant-event reviews
- Improve appointment systems, access and administrative processes
- Promote equality, dignity and respectful communication
- Support financial monitoring, income protection and NHS contractual requirements
- Assist with budget monitoring and expenditure control
- Collaborate with accountants, payroll, commissioners and external bodies
- Support effective use of EMIS, online platforms, AccuRx, cloud telephony and other systems
- Identify opportunities to improve efficiency and workflows
- Ensure staff training and adherence to digital procedures
- Support data quality, reporting and performance monitoring
- Assist with system changes and business-continuity projects
- Build relationships with GP Partners, PCNs, ICB and NHS organisations
- Attend internal and external meetings
- Represent the organisation professionally to patients, staff and external agencies
- Maintain confidentiality and comply with information governance
- Work within policies and delegated authority
- Participate in training and professional development
- Travel between practice sites as required
Key requirements
- Relevant management qualification or equivalent management experience
- Experience of managing staff and day-to-day operational services
- Experience in recruitment, induction, training, appraisals and performance management
- Experience of handling competing priorities and resolving operational problems
- Experience in developing and improving systems, procedures and workflows
- Experience in handling complaints or service-quality issues
- Experience of working with confidential and sensitive information
- Experience in using digital systems, producing reports and monitoring performance
- Desirable: NHS general practice or primary care experience, CQC compliance and inspection prep, QOF/ enhanced services experience, financial management experience
