In this role you support a busy ward by handling a wide range of administrative tasks within a multidisciplinary team. You will manage admissions, discharges, meetings, and documentation to keep patient care on track while liaising with internal and external bodies. The role emphasizes confidentiality, communication, and IT proficiency to coordinate care processes. Responsibilities

  • Coordinate CPA-related activities, report compilation, minute taking and Section 117 meetings
  • Act as IT co-ordinator and Rio champion for the ward
  • Arrange admissions, transfers and discharges with liaison to Medical Records and external agencies
  • Process maintenance requests and follow up to ensure timely completion
  • Handle telephone enquiries with discretion and relay messages to appropriate staff
  • Provide cover for other wards during holidays or sickness
  • Maintain ward diary with CPA dates, health investigations, and service user activities
  • Liaise with internal and external services, patients and relatives while upholding confidentiality
  • Set up emails, Rio accounts, and smartcards for new staff
  • Attend team meetings and supervision; participate in appraisal
  • Update patient lists and related schedules (MHA spreadsheet, Progress Review Timetables)
  • Order ward supplies (stationery)
  • Maintain electronic filing and filing systems as part of office administration

Key requirements

  • Office 365 proficiency (Word, Excel, Outlook, PowerPoint) and strong typing
  • Excellent written and oral English
  • Experience with electronic filing systems and minute/note taking
  • Ability to communicate at all levels through various media
  • Professional outlook; organized, flexible and calm under pressure; able to meet timescales
  • Willingness to undertake training
  • Desirable: NVQ3 Administration; Rio and SharePoint familiarity
