Overview
You will lead the Medical Administration team in a busy GP multi-site practice, balancing hands-on admin work with people leadership. You plan workloads, develop staff, and ensure timely, accurate handling of clinical correspondence and patient records. The role offers a chance to shape a supportive, service-oriented admin function that underpins high-quality patient care. You’ll work closely with clinicians and managers to improve processes and data quality. This is a developmental Band 3-4 post with training and progression opportunities.

Responsibilities
- Supervise day-to-day work across scanning, coding, summarising, call and recall, reports and Subject Access Requests
- Organise rotas, approve leave, and arrange cover for sickness
- Lead team meetings, one-to-ones, and annual appraisals; manage sickness absence and return-to-work interviews
- Monitor incoming clinical correspondence via EMIS Web; ensure timely scanning and coding with SNOMED
- Oversee summarising of new patient records (paper and GP2GP) and manage backlogs
- Conduct regular audits of coding and summarising; provide feedback and implement improvements
- Coordinate call and recall for long-term conditions with nursing team
- Produce monthly KPI reports on backlogs, turnaround times and audits
- Carry out hands-on Medical Administrator duties when needed
- Handle complex Subject Access Requests and redactions; refer to clinician as needed
- Ensure compliance with UK GDPR and Data Protection Act 2018; liaison with clinicians and others
- Maintain administration protocols and governance; liaise with GPs, nurses, Care Navigation Team Leaders and management
- Support staff development and ensure a calm, supportive environment during busy periods
- Contribute to data accuracy and quality checks; report on team performance
- Work across sites and collaborate with hospitals, solicitors, insurers on records and reports

- Experience in a busy administrative environment; supervisory/lead responsibilities
- Experience handling sensitive information professionally
- Proficiency with clinical systems and IT; ability to motivate and develop others
