National Grid Interconnectors is at the heart of the UK’s transition to our net zero energy future. We operate a number of HVDC interconnectors that connect the UK’s energy system to some of our closest neighbours, allowing energy to be imported to and exported from the UK. Our Operations Team is responsible for operating 5.8GWs of interconnectors, making our operations central to the safe and reliable operation of the UK energy system every day.
As Document Control and Information Lead, your role sits within our Governance, Risk and Compliance Team which has broad accountability for a range of business management practices such as document and information management, risk management, programme management and change management. You will lead the document control and information management function within the Operations Directorate. This includes the management of a Document Management System (DMS), development and management of relevant processes/procedures, assurance that standards are being followed, and training/support to staff to adopt document control/information management best practice.
What you'll do:
- Act as the lead and champion for document control and information management within the Operations Directorate.
- Develop and manage policy, standards and supporting procedures for document control and information management.
- Embed the use of the Document Management System (DMS) across the directorate.
- Act as the business lead working with the IT & Digital team to ensure that the DMS technology stack is effective and fit-for-purpose.
- Provide first line assurance to directorate management that document control and information management policy, standards and procedures are being applied effectively across the business.
- Work with National Grid Group functions (risk, corporate audit, business continuity) to support 2nd line assurance and compliance.
- Lead change projects within the document control and information management areas.
- Use data and performance indicators to assess maturity and to drive continuous improvements in document control and information management.
- Support staff and managers across the business to maintain proper filing and control of all documentation, ensure accurate version control, access, document numbering, and naming conventions, and implement document control and information management procedure and standards.
- Provide advice on and ensure compliance with relevant corporate policies, especially information security.
- Develop and administer (through a small team of document controllers) a number of SharePoint sites for internal and external collaboration as required.
- Line manage a small number of document controllers, each supporting a different part of the business.
- Take over management of a project to implement a new DMS and steer the project from “Delivery phase” into the “Improvement Phase”.
What you'll need:
- Proven experience leading a document controller function, as an information manager or similar role in an operational environment.
- Previous experience supporting management teams with document control and information management.
- Excellent organisational skills and attention to detail.
- Ability to manage multiple priorities and work effectively under pressure in fast-paced environments.
- Strong communication skills with the ability to liaise effectively at all levels of the business.
- Knowledge of document control processes and operations and energy industry terminology (preferred).
- Proven planning, coordination, and process management skills.
- A self-starter with excellent organisational skills and attention to detail, ability to author/review processes and work instruction documents.
- Project management skills in a document control/information management context.
What you'll get:
A competitive salary between £48,374.00 - £57,012.50 per annum – dependent on capability. As well as your base salary, you will receive a bonus based on personal and company performance and a competitive contributory pension scheme where we will double match your contribution to a maximum company contribution of 12%.
