The NFL UK & Ireland office are seeking a five-star Front of House and Office Coordinator, for a 1-year maternity cover contract, to seamlessly support the running of the office, all staff and our guests.
The ideal candidate must have a meticulous eye for detail and take pride in the presentation of the NFL office space, whilst balancing multiple tasks in a busy office environment. They must demonstrate a wealth of first-class customer service as the role is based on the front desk and is the face of the NFL UK & Ireland, therefore they must be welcoming and willing to assist the needs of all visitors and staff, with a calm and professional manner.
The Front of House and Office Associate will be expected to specialise in maintaining the immaculate presentation and hospitality of the office, as listed below. They will work alongside the Office & HR Coordinator, sharing the general office and maintenance responsibilities.
Responsibilities- Lead on FOH & BOH presentation, ensuring all office areas are clean, presentable and functional
- Office morning/evening routine, setting up coffee machine, refreshment setup etc.
- Owning the cleaning contractor relationship and ensuring they are keeping to high standards
- Organising regular office clear-outs with staff, deep-cleans and endorsing the clear desk policy and housekeeping rules
- Monitoring all communal areas and meeting rooms are left tidy throughout the working day
- Keeping all office displays up-to-date and continuing to look for new, creative ideas to improve the office
- Lead on meeting room booking and visitor process
- Post office/franking post
- Ordering and replenishment of office stock
- Coordination of office events and meeting catering
- Setting up office events
- Meeting and greeting all guests and staff
- Make drinks for guests on arrival
- Fielding switchboard calls
- Coordinate the maintenance of the UK & IRE Office
- Managing office logistics
- Working with office contractors to schedule and report any technical issues
- Organise all health and safety assessments and office remedial works
- Setup office access cards for new employees
- Sending out couriers and accepting deliveries ensuring they go to recipient and safely stored away
- Supporting with the coordination of Culture Committee events and initiatives
- Must have at least 5 years of experience working in a fast-paced office, event hospitality and/or hotel operations environment
- 5 years customer service experience
- Exceptional eye for detail when it comes to hospitality, customer satisfaction and high standards
- Methodical approach to the up-keep and functionality of an office environment
- Ability to coordinate multiple projects and deadlines, whilst maintain the daily running of the office
- Strong project management and organisational skills
- Proficiency in all Microsoft office software
- Available to work in Central London office full time, working hours starting from 8am/8.30pm to 5pm/5.30pm, depending on shift patterns
