National Express are recruiting an experienced Administration Assistant to join our Driver Development team on a fixed term contract (9 months). The successful candidate will carry out all administration functions within the Driver Development Department, supporting all CPC and Training processes.

You will work 7.36hrs per day between the hours of Monday - Friday 06:30-16:00 depending on business requirement.

What you'll do:

  • Use and operate the telephones and deal with enquiries and visitors in reception.
  • Distribute internal post and manage outgoing post.
  • Accurately input data onto all internal and external systems in line with data protection with regards to training attendance, data and candidate trackers, including systems such as Salesforce, eBis and be able to process purchase orders – price and order checking of invoices, obtain authorisation and process for payment.
  • Process company DBS checks for new driver applicants, track completion and deal with any anomalies.
  • Generate letters, reports and minutes from meetings.
  • Provide support to the training team with regards to stock checks and updating all materials as and when required, along with ongoing stationery orders and Vision printer support.
  • Assist the training team in all events and projects when necessary.
  • Support in issuing new user accounts for new starters via Gmail and facilitate necessary assessments prior to candidates being progressed to employment dates.
  • Support and administer theory tests for the DVSA approved in house theory testing centres across all locations as required in line with IHTTC T&C’s.
  • Support the overall on-boarding process for new drivers via support calls, arranging start dates, issuing relevant company documents and supporting the recruitment team with events. Liaising with the Workplan Supervisor, Team Leaders and Driver Training Instructors daily regarding trainees.
  • Completing the processing of licences under the DVLA fast tracking system and provide support on queries following the medical stage.
  • Generate contracts of employment and complete amendment and termination reports and forms. Liaising with depots regarding trainee information.
  • Maintain good housekeeping and conform to Health, Safety and Environmental Regulations.

What you'll need:

  • Able to communicate clearly and politely.
  • Good computer and numeracy skills.
  • Customer focused – Internal and External.
  • Ability to work as part of a team.
  • Previous experience in working in a busy Admin department would be advantageous.
