Description: 12-month, Full-Time, Exempt Location: In-office position with the flexibility to work remotely one day per week, coordinated with the development team.

POSITION SUMMARY

The Associate Director of Development Operations plays a vital role in supporting the success of CSW's fundraising efforts by managing data systems, conducting prospect research, and ensuring the integrity and strategic use of constituent information. This position is responsible for maintaining Raiser’s Edge, providing key fundraising and engagement analytics, and creating reports that help the team and leadership make data-driven decisions. In addition, this role will collaborate with the development team on CSW's use of Almabase, supporting engagement and outreach efforts by leveraging the platform's capabilities. The Associate Director will report to the Chief Development Officer and work closely with all members of the development team, ensuring seamless coordination across fundraising initiatives.

KEY RESPONSIBILITIES

  • Database & Reporting Management: Oversee Raiser’s Edge, ensuring data integrity, accurate gift documentation, and proper tracking of constituent interactions. Generate lists, segmentations, and reports for annual giving, major gifts, and stewardship efforts. Develop data-driven insights to support frontline fundraisers and leadership in maximizing fundraising potential. Maintain and improve reporting systems, dashboards, and analytics to measure fundraising performance.
  • Gift Processing & Acknowledgment: Work closely with the gift processor to oversee the timely and accurate entry of gifts, pledges, and constituent information into Raiser’s Edge. Own the acknowledgment process, ensuring that constituents receive timely, accurate, and personalized recognition for their contributions. Partner with the Business Office to ensure proper coding of gifts and reconciliation of Raiser’s Edge to the General Ledger.
  • Almabase & Digital Engagement: Support CSW's use of Almabase, collaborating with the development team to enhance alumni and constituent engagement. Provide data insights and technical support to maximize the platform's effectiveness in community outreach and engagement efforts. Assist in tracking alumni engagement and fundraising initiatives within Almabase.
  • Prospect Research & Constituent Insights: Conduct in-depth research on prospective constituents, providing wealth screenings, giving history, and philanthropic interests to support constituent cultivation. Analyze giving trends and identify new potential leadership and major gift constituents. Maintain up-to-date constituent profiles and prospect pipeline reports.
  • Operational & Strategic Support: Partner with the Annual Fund and Major Gifts teams to develop targeted constituent outreach strategies based on giving data. Work closely with the Marketing & Communications team to support data-driven segmentation for fundraising appeals. Train and support Development staff in best practices for Raiser’s Edge and Almabase data utilization. Serve as a point of contact for donors who need assistance with the logistics of making a gift, including processing gifts over the phone and troubleshooting any issues related to online giving or donation records.

COMPENSATION AND BENEFITS

CSW is committed to offering a compensation and benefits package that is competitive within both independent schools and the broader nonprofit sector. The salary range for this position is $60,000 - $70,000, commensurate with experience. Details about healthcare, retirement, and other benefits will be discussed during the interview process.

This role may also include additional duties as assigned, supporting the Development Office in achieving its overall fundraising and engagement goals.

QUALIFICATIONS & SKILLS

  • Associate's degree or Bachelor’s degree is preferred but not required.
  • 3-5 years of experience in development operations, database management, prospect research, or a related field.
  • Strong expertise in Raiser’s Edge (RE NXT) or other CRM/database systems.
  • Experience with Almabase or other digital engagement platforms is preferred.
  • Ability to analyze and interpret fundraising data to guide decision-making.
  • High attention to detail and accuracy in handling constituent records.
  • Commitment to confidentiality and discretion when handling sensitive donor and constituent records, ensuring compliance with data privacy and fundraising ethics standards.
  • Excellent communication and collaboration skills, with the ability to train and support colleagues.
  • Experience working in an independent school or nonprofit development office preferred.
