As we are expanding our operations, we’re looking for an experienced and reliable Office Manager to join our team and keep things running smoothly.

We are seeking a highly organized and proactive Office Manager with experience in aviation operations to support the day-to-day functions of our fast-paced global company. This role is essential in ensuring smooth office and logistics operations, acting as the first point of contact for the local office and serving as a key liaison with our global team in the USA. The ideal candidate will coordinate shipments, manage orders, support customer interactions, and help streamline internal processes to keep our operations running efficiently.

Key Responsibilities
  • Manage all incoming and outgoing shipments, ensuring accurate documentation and compliance with customs regulations.
  • Receive and inspect deliveries; maintain precise and up-to-date inventory records.
  • Coordinate deliveries and pickups in alignment with operational timelines and priorities.
  • Serve as the primary liaison with headquarters in Los Angeles, CA, addressing operations and submitting finance reports.
  • Handle government registration processes efficiently and in a timely manner.
  • Review and assess contracts to ensure compliance and alignment with company policies.
  • Act as the primary point of contact for customer inquiries related to orders, deliveries, and repairs.
  • Communicate updates clearly and professionally via phone, email and global communication platforms.
  • Support customer acquisition efforts and business development with a focus on service excellence and responsiveness.
  • Maintain and nurture long-term relationships with existing customers to ensure continued satisfaction and loyalty.
  • Track office and operational supply levels; place timely orders.
  • Liaise with suppliers and global operations team to ensure cost-effective and timely purchases.
  • Understanding of cash flows and income statements.
  • Ability to create and maintain financial reports.
  • Manage administrative documentation and digital filing systems.
  • Support with invoices, purchase orders, and other clerical duties.
  • Ensure compliance with aviation standards and internal procedures.
Requirements:
  • 2-5+ years of office management experience or operational support in a business environment or equivalent educational experience in the aviation industry.
  • Background in the aviation or aerospace industry is essential.
  • Understanding of shipping/export licensing and processes, especially in aviation.
  • Strong organizational and multitasking skills.
  • Excellent communication skills (written and verbal).
  • Proficiency in Microsoft Office Suite including Excel, Word and Outlook.
  • Ability to work independently and as part of a small, agile team.
  • Ability to travel as needed.

  • Familiarity with Aerospace spare parts distribution processes.
  • Experience with inventory or ERP systems.
