We’re looking for a Production Co-ordinator to work with the Visual Media Director and CD-Visual Media to help resource work as efficiently as possible.
Your passion will be to manage work schedules to keep the process running as smoothly as possible.
We’re not going to lie to you – it’s a really busy environment with tens of briefs on the go at any one time, but our robust process is a big help and that's where you come in, managing resource to deliver great work, consistently, on time, every time.
You will love working in a fast paced, creative environment with an exciting set of clients, including Coca Cola, Tesco, Superdrug to name a few.
Ultimately the role will be to manage the time of the super talented visual media team, videographers, photographers, animators and social media content creators, and freelancers, to implement our current systems for doing so.
You will implement and monitor our internal process.
- Key Accountabilities
- Managing the resource of the visual media team and our freelancers.
- Manage workflow of jobs on BMS, Trello, MS Outlook and MS Excel.
Ensuring that it is 100% up to date at all times.
Also to explore how AI can enhance this workflow to improve productivity.
- Work closely with the Visual Media Director, Creative Director - Visual Media, and team members to manage resource for campaigns.
- Work closely with Campaign Management, Marketing and Client Development to manage service requests, the briefing process, communicate progress, resolve issues, and share content outputs
- Liaise with our preferred freelancers, check availability, and book onto jobs using BMS to raise supplier purchase orders or booking contractors.
- Ensure team members and freelancers are fully briefed on the requirements for each job.
- Upload video and photo content to our content sharing platforms (Vimeo, Unscripted Photographers) and share with the appropriate internal teams.
Save content onto our servers for effective backup of content.
- Have a good creative eye to curate the best content to share with N2O teams and clients.
- Ensure that the visual media process is facilitated via effective communication with all departments in the agency, especially Campaign Management, Marketing, and Client Development.
- Keep all parties informed of progress and problems.
- Establish and communicate project timelines to meet client deadlines.
- Communicate to all fellow employees, both within our team and those in other departments, in a polite and courteous manner at all times.
- Support all members of the visual media team and company with production-related enquiries and issues. You are here to resolve any and all scheduling issues and requirements.
- Occasionally provide production assistance for the Visual Media team onsite at shoots.
- Build effective relationships with key departments and with our preferred freelancers.

- A passion / interest in videography, photography and social media content
- Minimum 1 years’ experience in marketing / a creative agency
- Highly organised, process driven with experience in managing work flow
- Strong resourcing skills
- Work with electronic scheduling software (Trello or similar)
- Confident with use of IT packages, training will be provided
- Clear and effective communicator, both verbally and in writing
- Show empathy with creative staff and their work
- Solution orientated and be able to manage multiple project deliverables
- Relish working in a fast-paced environment
- Previous experience in a production management / project planning role
