Our Executive Assistant will work hand-in-hand with the UK CEO and wider leadership team (COO, CFO, and Founder) to ensure N Family Club runs smoothly, efficiently and effectively. Think part Executive Assistant, part Operations Coordinator, part Office Maestro, part Project Manager. You’ll blend precision and warmth whilst managing logistics, communication, and projects that help our teams shine and our nurseries run smoothly. This is an office-based role, working full-time from our central Support Office based in Shoreditch.
What you’ll be doing:
- Coordinate complex diaries, travel, logistics, and day-to-day support for the UK CEO and wider leadership team.
- Anticipate needs before they arise and create space for strategic focus.
- Manage inboxes, briefing materials, presentations, and pre-meeting preparation.
- Handle confidential information with professionalism, discretion, and trust.
- Schedule agendas, papers, minutes, and action follow-through.
- Ensure communication flows effectively across the group, providing a central point of coordination and alignment.
- Draft, edit, and review internal and external communications – ensuring tone, clarity, and warmth are always on brand.
- Support the UK CEO with storytelling, parent messaging, and team communications.
- Own the rhythm and organisation of our Support Office – from supplies and systems to creating a welcoming, efficient space.
- Coordinate IT needs including hardware setup, software access, troubleshooting, onboarding, device management, and liaison with IT vendors.
- Maintain a smooth, professional office environment that reflects our brand.
- Act as the bridge between the UK CEO and nursery teams, supporting day-to-day problem-solving, coordination, and follow-through.
- Support UK procurement by overseeing requests, maintaining strong supplier partnerships, and keeping logistics running smoothly.
- Work alongside our Regional Directors to ensure our nurseries maintain commercial success through correct procurement and budgeting procedures.
- Support our Regional Directors with complex customer disputes, liaising with our external insurance and legal teams and escalating as required.
- Help drive operational rhythm and support our nurseries to deliver excellence.
- Support or lead cross‑functional projects including sustainability initiatives, tech rollouts, launch planning, our annual fee review process and operational improvements.
- Track timelines, stakeholders, and deliverables to ensure projects land successfully.
- Lead planning and logistics for key internal events including leadership conferences, team days, celebrations, learning sessions, and company-wide gatherings.
- Partner with our People and Marketing teams to make every event engaging and inclusive.
- Champion the N Family experience, supporting with parent‑facing communications where needed and ensuring clarity, empathy, and warmth.
- Provide limited personal assistance to the UK CEO to create space for focus and leadership priorities.
You should have:
- Previous experience supporting senior executives in a dynamic, fast-paced environment.
- Proven track record in a role that blends executive support, operations, office management, or event coordination.
- Experience managing multiple priorities, stakeholders, and deadlines simultaneously.
- Confidence working with confidential information and sensitive issues.
- Demonstrated experience coordinating IT needs or working closely with IT teams/vendors.
- Experience managing or supporting cross‑functional projects or business initiatives.
