Role Purpose

  • Support the effective administration of contracts within an established procurement function.
  • Ensure contractual compliance, accurate documentation, and performance monitoring throughout the contract lifecycle.
  • Assist Contract Holders and internal stakeholders with post-award contract management activities.

Responsibilities

  • Carry out contract administration activities in line with regulatory frameworks and internal procedures.
  • Support post-award contract management, including clarifications, changes, variations, and disputes.
  • Attend contractual meetings including kick-off, handover, and progress reviews, liaising with internal stakeholders as required.
  • Prepare and maintain accurate meeting minutes and records.
  • Monitor contracts against key performance indicators such as expenditure, duration, and performance.
  • Verify contractor documentation to ensure compliance with contractual and regulatory requirements.
  • Identify and report contractual or procedural irregularities during contract execution.
  • Collect and assess contractor performance data and support the feedback process.
  • Review contract variations, claims, and disputes for contractual admissibility.
  • Assess the application of contractual remedies such as liquidated damages or volume discounts where applicable.
  • Capture and share lessons learned from contract administration activities.
  • Support preparation and review of contractual and commercial correspondence.
  • Manage correspondence with contractors, ensuring traceability and effective internal coordination.
  • Maintain complete, accurate, and up-to-date contract management documentation.

Experience / Skills / Knowledge / Qualifications

  • Significant experience in a Contracts Administrator or similar contract management role.
  • Strong knowledge of contract regulations, terms, and conditions for goods, services, and works.
  • Experience working within regulated or technical environments (energy or infrastructure desirable).
  • Understanding of Health, Safety, and Environment (HSE) requirements within contracts.
  • Knowledge of technical specifications and industry standards.
  • Strong organisational, communication, and analytical skills.
  • Ability to manage multiple contracts simultaneously and monitor performance effectively.
  • High attention to detail with excellent problem-solving and negotiation skills.
  • Experience with post-award contract management and basic pre-award procurement activities.
  • Proactive, self-motivated, and able to work with minimal supervision.
  • Fluency in English (written and spoken); additional languages advantageous.
  • Proficiency in MS Office and experience using SAP or similar systems.
