Job Details
The Office Manager is responsible for the smooth, day-to-day running of the office, encompassing administrative, operational, and logistical tasks. This includes managing staff, handling office finances, ensuring facilities are well-maintained, and overseeing various administrative systems.
Key Responsibilities
- Managing Office Facilities: Overseeing daily tasks, implementing and maintaining office policies and procedures, and ensuring efficiency.
- Administrative Tasks: Organising meetings, managing schedules, and handling correspondence, office supplies & stationary ordering
- Facilities Management: Maintaining office supplies, equipment, and facilities, including liaising with suppliers and contractors for repairs and maintenance.
- Financial Management: Managing the office budget, raising purchase orders and processing invoices.
- Health and Safety: Ensuring compliance with relevant regulations and policies.
- Security Management : Ensuring security systems are kept updated & company compliance followed including emergency protocols
- Sustainability Initiatives : Implement and manage Environmental, Social, and Governance (ESG) related requirements and initiatives to support corporate sustainability goals
- Communication: Acting as a point of contact for various departments, liaising with staff, suppliers, and external parties including the landlord\’s building management team.
- Tech Support: Liaising with the IT department to ensure technology functions effectively.
Qualifications
- Proven experience as a Office Manager or in a similar role.
- Strong knowledge of facilities management operations and best practices.
- Excellent project management and leadership skills.
- Strong analytical and problem-solving abilities.
- Proficient in MS Office and ideally facilities management software – CAFM.
- Excellent communication and interpersonal skills.
- Bachelor\’s degree in Facilities Management, Engineering, Business Administration, or a related field is welcomed but not essential
- Proficient English Skills
- Other languages are welcomed
