About the Role

The position is part of the Employment, Immigration and Reward secretarial team and reports to the Head of rockhopper & LS In-house. It focuses on providing administrative support to the management team, coordinators and lawyers across the firm.

Key Responsibilities

  • Open new clients or matters and draft retainer letters.
  • Send invoices and bills to clients by email or e‑billing platforms.
  • Track invoicing and support finance reconciliation.
  • Archive files using the Elite management system and FileTrack.
  • Assist with booking travel through the firm’s travel booking system.
  • Arrange for disbursements received from third parties and post them to the correct matter in the system.
  • Process other financial forms and documents, such as receipt and payment forms.
  • Process expenses.
  • Maintain the firm’s CRM system.
  • Assist the rockhopper and LS In-house coordinators, providing holiday cover when necessary.
  • Support secretaries by picking up overflow tasks.
  • Provide general assistance to the whole team as requested.
  • Perform any other task required in line with the role’s level.

About You

We are looking for a highly organised individual with excellent communication skills who enjoys working in a team environment. A flexible, cooperative and willing attitude is essential.

Specialist Experience

Previous demonstrable experience in office or administrative work.

Abilities & Desired Qualities

  • Good eye for detail.
  • Excellent organisational skills and the ability to prioritise workload effectively.
  • Ability to meet deadlines and work under pressure.
  • Strong communication skills at all organisational levels.

IT Skills Required

Experience with Word, Excel, document management systems and Outlook.

Educational & Professional Qualifications Required

Good grammatical English to at least GCSE standard or equivalent.
