Summary
Our client is seeking a Hard FM Compliance Manager to oversee statutory and technical compliance across a range of building services disciplines, including electrical, mechanical, ventilation, fire safety, lifts, and water systems. The role involves managing documentation, compliance tracking systems, and audit readiness, while working closely with Hard FM operations, supply chain partners, and client stakeholders to ensure all contractual and regulatory requirements are consistently met.
Deliverables / Outcomes
- Support management by assisting in the setup of system processes and implementing changes to ensure all contractual compliance requirements are met (primarily focusing on Statutory Compliance Tracking and the associated evidence repository).
- Review subcontractor and in-house team reporting to identify, action, and manage any follow-on works required to ensure compliance.
- Assist in the preparation of reports and documentation as required, ensuring confidentiality is maintained at all times.
- Work closely with the Operations Manager (Hard FM) to ensure that statutory PPMs are scheduled and completed each month to ensure full compliance.
- Engage with the Operations Manager (Hard FM) to ensure the Mechanical, Electrical & Fabric (MEF) team maintains accurate records of completed tasks.
- Support the Operations Manager (Hard FM) with compliance-related matters as required, contributing to the development of a streamlined reporting platform for the client.
- Compile and maintain compliance reports and trackers, ensuring they are accurate, up to date, and reflect the true compliance status of the contract.
- Proactively collaborate with the departmental and MEF teams to establish and maintain processes for managing all statutory compliance matters, including monitoring, auditing, record-keeping, and documentation control.
Skills, Experience & Qualifications
- Technical knowledge of Hard FM Systems with a deep understanding of mechanical, electrical and building fabric systems, with a familiarity with PPMs and the ability to interpret technical documentation.
- Compliance and regulatory expertise with proven experience of managing statutory and mandatory compliance and skilled in implementing and auditing against compliance frameworks with knowledge of H&S legislation, building regs and permit to work systems.
- Performance monitoring and data analysis skills with the ability to review and report on KPI, performance and service delivery, with experience in using management information to drive improvements and skilled in benchmarking and using tools (such as CAFM system) to track performance.
- Stakeholder engagement and communication with strong interpersonal skills to liaise with internal and external stakeholders, capable of translating complex compliance requirements into clear operational actions and experience of managing complaints, resolving service issues and supporting governance teams.
- Operational and contract management experience overseeing outsourced FM contracts and ensuring SLA adherence with the ability to lead audits, manage documentation and ensure compliance.
- SC clearance is essential for this role (this includes an Enhanced DBS check and a thorough verification of your employment history).
