Role Summary

We are seeking a professional, personable, and proactive receptionist to serve as the primary point of contact for our organization. This dual-role position combines front‑of‑house responsibilities with administrative support for the Facilities team and Executive Assistants. The ideal candidate will possess exceptional communication skills, meticulous attention to detail, and be able to thrive in a dynamic environment.

Working hours: Part‑time: Monday to Friday, 9:00 am – 3:00 pm

Key Responsibilities

  • Reception duties: greet and welcome visitors with professionalism and warmth, manage incoming phone calls, emails, deliveries, and mail, coordinate meeting room bookings and visitor access, oversee fleet vehicle bookings (including servicing, MOTs, and road tax), raise and process purchase orders, support general housekeeping tasks, maintain a clean and organised reception area.
  • Executive Assistant support: arrange domestic and international travel and accommodation bookings; maintain an e‑log of travel details; manage confidential correspondence and filing systems with discretion; prepare meeting rooms, including coordination with IT and Facilities teams for AV and furniture setup.

Required Qualifications and Experience

  • Proven experience in a receptionist and administrative support role.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
  • Excellent organisational and time‑management abilities.
  • Professionalism and confidentiality in handling sensitive information.
  • Capable of working independently and collaboratively.
