This is a remote, freelance position for someone who can work UK hours with 15 contracted hours per week.
The Nature of the Role
This is a reactive, real-time coordination role. There are no ‘set’ working hours as the nature of the role is reactive, assisting as and when tutors/clients message. In this way, the 15 hours are accumulated ad hoc over the four days. Most activity occurs between approximately 3:30-8pm (UK time), but you must be theoretically able to respond promptly during typical working hours (8:30am onwards). You will be handing over to/picking up from another assistant who covers Friday-Sunday in the same role.
Key Responsibilities
- Troubleshooting live lessons (e.g. chasing missing students/tutors, resolving access/link issues)
- Scheduling and rescheduling lessons
- Forwarding documents such as homework
- Handling new client enquiries and supporting onboarding for students, parents and tutors
- Maintaining scheduling and management platforms
- General administrative and systems support
- Optional: social media / marketing support (depending on skillset)
Required Skills & Attributes
- Exceptional organisation and ability to multitask
- Consistently accurate communication and information handling
- Strong attention to detail
- Polished, professional written and spoken communication
- English as a first language, with precise and professional written English and a clear, confident telephone manner
- Diplomacy and ability to resolve urgent issues within minutes
- Confident use of computer and smartphone
- Proficient with Google Workspace
- Based in country within two hours of UK time zone
Essential: prior Tuition Coordinator/Operations Assistant/Virtual Assistant experience supporting a tutoring/education company.
Working Channels
- WhatsApp Business (main channel)
- Google Workspace
- Notion (task tracking)
Urgent messages (e.g. missing students at lesson time) require responses within minutes. You must be able to monitor your phone consistently during normal working hours. Messages after 8pm can typically wait until the following day unless urgent or related to next-day lessons.
Contract & Commitment
- Freelance (self-employed) position ~£975-1,000/month for 15 hours/week. Overtime paid accordingly.
- Long-term role: minimum 18-month commitment
- 4-week trial, followed by 6-month probation
- Remote training provided via video call
- Applicants aged 21+
- Must be based in country within 2 hours of UK time zone (and willing to work UK hours)
