Kilimanjaro Live formed in 2008 and now puts on over 800 live shows a year nationally, from clubs and theatres to stadiums and other outdoor sites.

To provide experienced, high-level support to the Promoter in all aspects of delivering live events and tours in a fast-paced environment. You will be working on everything from pubs to arenas and stadiums and experience of these would be useful but not essential
As a Promoter Assistant, you’ll act with greater autonomy by reacting quickly and making decisions, carrying out essential tour admin with a great eye for detail, maintaining strong cross-departmental and external relationships, being the conduit of informationand keeping momentum and contribute strategically to the planning, launch and execution of shows and tours.
You’ll have a good understanding of routing, setting budgets, marketing, ticketing, and production.
You will have an idea of trends and movements in UK and international music and spoken word scenes and be comfortable building strong relationships with artist teams, including agents, managers, PRs, touring personnel, etc.
You will be a key part of the delivery team on the Promoter’s major projects, overseeing guest list arrangements, and representing the promoter with all other departments.
We promote shows throughout the UK and expect that you will be attending as many shows as possible whilst keeping on top of your workload. Strong organisational, adaptability and prioritisation skills, along with the ability to work under pressure and to deadlineswill be of paramount importance to the success of this role. Key Responsibilities and Accountabilities
- Assist promoter with full cycle of show/tour delivery: researching viability and availability of venues and dates, routing tours, and confirming shows with venues and internally.
- Ability to prioritise and adapt to changing workload requirements and communicate effectively with everyone involved in shows / tours.
- Prepare and manage budgets, financial projections, and settlements; ensure accurate tracking of income and expenses.
- Coordinate contract negotiations / artist & venue contracts in liaison with legal / contracting team.
- Scheduling: managing calendar(s), meeting coordination, travel, logistics for the promoter, including out-of-town travel and shows.
- Oversee marketing and promotional activity for shows: drafting or reviewing campaign plans (posters, flyers, digital, radio/TV where relevant), managing ad materials & artwork, collaborating with marketing team to maximise sales.
- Monitor ticket sales, analyse data, and adapt promotional strategies to optimise performance. Handle guest lists, hospitality, ticketing issues, liaising with internal ticketing team.
- Act as first point of contact for artist/agent/venue/manager queries; maintain professionally strong relationships.
- Ensure compliance: immigration / work permits for international artists, insurance, local licensing where needed.
- Deliver show-related reporting: post-show financial & marketing reports; feedback to internal teams and artists / agents.
- Assist with production and logistics: working closely with the production department to ensure smooth delivery.
- Mentor / oversee more junior promoter assistants; delegate where needed.
- Represent Kilimanjaro Live at shows, conferences, meetings, maintaining the company’s brand and reputation.
- Undertake ad hoc duties/projects as required by senior management.
- Strong understanding of the UK live music landscape: venues, tour routing, agents, promoters.
- Excellent financial acumen: budgeting, forecasting, settlements.
- Solid understanding of tour / live events marketing.
- Strong administration / organisational skills; ability to manage multiple overlapping projects with tight and moving deadlines.
- Outstanding verbal & written communication; excellent attention to detail.
- Proficient in Microsoft Office, especially Excel; familiarity with ticketing systems a plus.
- Ability to build and maintain relationships — with agents, venues, artists, internal teams.
- Flexible attitude: ability to work evenings and weekends as required by show dates and to get the job done.
- Strong problem-solving skills: ability to adapt and take initiative.
- A team player and mentor, approachable and reliable; ideally some experience supervising or guiding junior staff.
- 25 days holiday plus an extra 3 days for when the office closes between Christmas and New Year
