The Internal Administration Executive provides essential administrative, coordination, and commercial support within a busy textiles commercial department. This role plays a key part in ensuring operational efficiency, data accuracy, and seamless communication across Commercial functions. You will support multiple markets and internal account teams, acting as an organised and proactive point of contact to keep processes running smoothly.
TYPICAL RESPONSIBILITIES INCLUDE
- Order & Data Administration: Receive, verify, and process customer orders including pricing, delivery dates, Incoterms, and product details. Maintain the order book and internal systems with accurate, up-to-date information. Liaise with Production and Planning to confirm dye dates and ensure order progression.
- Internal Communication & Support: Act as an internal liaison for assigned markets supporting Account Executives and Sales Managers. Provide timely updates on order and stock status and coordinate issue resolution.
- Reporting: Support internal stakeholders with well-structured service level reporting.
- Sampling & Technical Support: Coordinate sample requests with pattern room, technical, and quality teams. Manage supporting documentation for technical enquiries.
- Logistics & Compliance Support: Prepare shipment quotations and documentation. Ensure credit limits and Incoterms compliance in collaboration with Logistics and Finance.
- General Administration & Continuous Improvement: Maintain document control, filing structures, commercial databases, and templates. Identify inefficiencies and contribute to process improvements. Provide administrative support across the Commercial function as required.
