Overview
Murray Recruitment are currently recruiting a Service Co-Ordinator for a permanent position based in Glasgow. Reporting to the Administration Manager, this role assists the Operations Managers in the day-to-day co-ordination and management of the business’ operational maintenance activities.
Responsibilities/Duties
- Logging Client requests and creating cases – Monitoring, controlling and managing these works to ensure they are planned on a daily basis using the service planner.
- Planning scheduled service visits for Mobile Engineer\’s and Sub-Contractor\’s using PPM planner.
- Progressing jobs through to work complete status including scanning documents and maintaining operational documentation for all work undertaken.
- Liaising with Customers and Clients as per maintenance schedule/contract requirements and operations management to ensure smooth operational delivery.
- Communicating and issuing of work orders to field based Engineers via Electronic job issue or telephone.
- Compiling quotations for repair works noted from Engineer reports, telephone calls and sub-contractor quotations, passing them to Operations Manager for approval.
- Creating purchase order\’s for materials required for works from Engineer\’s and ordering materials from suppliers in advance of works being carried out.
- Co-ordinating and managing tasks to ensure maintenance delivery within allocated budget and time-scales.
- Keeping up to date with customer spend limits on reactive jobs and applying for additional monies when required.
- Reporting IT faults with IT support facility for tablet faults etc.
- Supporting Operations Manager as required with production of client reports.
- Providing report to Operations Manager weekly on progress/status on all open jobs.
- Involvement in regular WIP reviews and work to reduce WIP levels.
- Checking of Engineer\’s time sheets for accuracy.
Experience/Skills
- Previous experience in an administrator position as full training will be given.
- Excellent telephone manner.
- Ability to organise own workload, work well under pressure making sure deadlines are met and respond quickly to changing priorities.
- Effective working relationships with peers, line managers and with external customers and clients.
- Good knowledge of customer spend limits on reactive jobs and have the ability to apply for additional monies when required.
- Good working knowledge of computer packages; Word, Excel and Outlook.

- Hours are Monday to Friday; 8am-4:30pm.
- Salary is £26,734 per annum.
