Murray Recruitment are recruiting a Service Coordinator for our client based in Ballieston.

Role Overview

This is an excellent opportunity for an experienced Service Coordinator to join a busy engineering business, providing essential support to the Service Manager and engineering team.

The successful candidate will be responsible for coordinating reactive, planned and quoted works, managing engineer schedules, and acting as a key point of contact for customers and subcontractors.

This is a varied and fast-paced position requiring excellent organisation, communication and customer service skills, alongside the ability to manage multiple priorities and ensure works progress efficiently from initial request through to completion and invoicing.

Key Responsibilities

  • Coordinate and schedule reactive works, planned preventative maintenance (PPM), quoted works and emergency call-outs.
  • Act as the first point of contact for engineers, subcontractors and customer enquiries.
  • Allocate engineers based on skill set, location and availability.
  • Monitor job progress, updating schedules and closing completed works accurately.
  • Raise purchase orders for subcontractors and obtain ETAs and progress updates.
  • Maintain regular communication with customers regarding appointments, ongoing works and completion updates.
  • Manage customer queries professionally, escalating issues where appropriate.
  • Create and maintain work instructions, job sheets and associated service documentation.
  • Track job and quotation status, ensuring accurate and timely system updates.
  • Support the Project Manager with project administration, obtaining quotations and raising purchase orders.
  • Complete job costing and invoicing using the Coupa supplier portal.
  • Provide engineers with logistical support, including parts, access arrangements and job documentation.
  • Monitor service stock levels and liaise with suppliers where required.
  • Use Joblogic to schedule and track works, maintain customer records and manage engineer schedules.
  • Ensure customer details, parts usage, job status and other service information remain accurate and up to date.

Skills & Experience

  • Previous experience within a Service Coordinator or similar scheduling role is essential.
  • Previous experience working within a busy, fast-paced environment.
  • Knowledge and experience of Joblogic is essential.
  • Engineering, facilities management or technical service industry experience is preferred.
  • Strong organisational and time management skills with the ability to manage competing priorities.
  • Excellent verbal and written communication skills.
  • Professional, approachable and customer-focused manner.
  • High level of accuracy and attention to detail.
  • Proficient in Microsoft Office, particularly Outlook and Excel.
  • Ability to work independently while contributing effectively within a small, close-knit team.
  • Knowledge of the Coupa supplier portal would be advantageous.
  • Previous experience within a small engineering business would be beneficial.
