Overview

In this role you will be the focal point for construction documentation, ensuring compliance with contract requirements and timely delivery. You will manage the document control system and CDE, control obsolete documents, and support handover packages. You will quality-check and format documents, maintain distribution lists, and manage changes linked to contracts. You will collaborate with diverse stakeholders across infrastructure projects to support energy transmission and distribution initiatives.

Responsibilities

  • Serve as the primary document control point for construction documentation and ensure it is managed in a controlled manner
  • Ensure document control aligns with contract requirements and agreed timescales
  • Oversee obsolete/superseded/withdrawn documents and ensure proper disposal or marking
  • Maintain Client CDE and ensure data transfer to JMS CDE before contract completion
  • Allocate document numbers per JMS/Client procedures and verify document details before issue
  • Quality-check documents to correct typos/formatting and ensure legibility
  • Create and maintain distribution lists, workflows, and review cycles
  • Link documents to contract documents through proper change management
  • Assist in compiling and issuing handover documentation (O&M manuals, H&S files, as-built records)
  • Archive documents ensuring legibility and traceability

Key requirements

  • Experience in a professional Administration and/or Document Control department
  • Knowledge of IT systems (Word, Excel, Outlook, Access)
  • Knowledge of Electronic Document Management Systems such as Aconex, ProjectWise
  • Ability to manage relationships with diverse stakeholders
  • Experience in the Infrastructure/Civil/Engineering/Construction industry
