We are looking for a highly organised and detail-focused Warehouse Logistics Administrator to support our outbound dispatch operation. This role is critical in ensuring customer orders are shipped accurately, on time, and in full, while providing essential coordination between warehouse operations, transport providers, and internal teams.

Key Responsibilities
  • Coordinate daily outbound shipments to meet customer delivery schedules
  • Raise, check, and release all shipping documentation, including despatch notes, delivery notes, labels, and commercial paperwork when required
  • Liaise with transport providers to confirm collection and delivery times
  • Ensure all orders are picked, packed, and dispatched accurately and on time
Systems & Administration
  • Input and maintain outbound order data within the WMS / ERP system
  • Monitor shipment status and update system records accordingly
Communication & Coordination
  • Act as the main point of contact for outbound-related queries from customer services, transport providers, and internal teams
  • Work closely with the Warehouse Supervisor to prioritise workloads based on collection times
  • Work closely with the Warehouse Logistics Team Lead & Warehouse Supervisor
  • Escalate delivery issues, delays, or non-conformances to the appropriate managers
Compliance & Accuracy
  • Ensure all outbound activities comply with company procedures, health & safety standards, and transport regulations
  • Verify export or specialist shipping documentation where applicable
  • Support audits and investigations relating to outbound logistics issues
Continuous Improvement
  • Identify root causes of shipping errors, delays, or inefficiencies and suggest improvements
  • Support continuous improvement initiatives within outbound logistics
  • Assist with KPI tracking and reporting, including OTIF, despatch accuracy, and carrier performance
Skills & Competencies
  • Strong administrative and organisational skills
  • Excellent attention to detail and accuracy
  • Ability to work under pressure and meet tight deadlines
  • Clear and confident communication skills (written and verbal)
  • Proficient in Microsoft Office, particularly Excel and Outlook
  • Confident using warehouse management systems
  • Proactive problem-solver with a continuous improvement mindset
Knowledge & Experience
  • Essential: Previous experience in a logistics, warehouse, or transport administration role
  • Experience supporting outbound deliveries or despatch operations
  • Basic understanding of transport and shipping processes
  • Desirable: Experience using WMS or ERP systems, ideally SAP and/or EWM
  • Familiarity with wider warehouse and logistics operations
