About Shared Services
A Shared Service Provider to both UK Life Branch (Life Reinsurance provider) and Great Lakes Insurance SE (specialty provider of primary insurance services in the UK). Key services that are provided include: Accounting/Finance/Tax; HR; Facilities Management; Procurement; Internal Audit; Legal and Data Protection. In addition, the responsibility for managing and servicing the Leases on behalf of the relevant London Business Units. About the role
As a key player in the HR Services team you will support the pre-boarding of new joiners coming through the recruiting process across UK initially and expanding to Europe over time. You will guide candidates through the interview scheduling process, create offer documentation and contracts and complete any necessary pre-employment verification before handing off to Onboarding. Working closely with TA Partners, HRBP’s and the wider HR Services team in Manchester. In conjunction with the TA Coordination Team you will review the existing processes and provide process improvement ideas across the pre-hire process.
Key Responsibilities
- Schedule candidate virtual interviews and face-to-face interviews, aligning calendars of internal stakeholders and external candidates.
- Organise candidate interview debriefs with hiring managers, where required.
- Manage Hiring Manager and Recruiter expectations when it comes to system related processes.
- Working with Talent Acquisition, support with administration of new joiners sending, receiving and E-filing contracts, background checks and new joiner paperwork via Adobe sign.
- Administering new user profiles into SuccessFactors.
- In collaboration with the Senior HR Administrator- EU & LatAm, analyse, review, coordinate, distribute and enhance TA report as well as regional UK&I TA report, sharing successes and improvements.
- Ensure a smooth new joiner experience, collaborating with HR and IT teams where required.
- Work with UKI TA colleagues regionally to ensure key regional initiatives are implemented and communicated within Munich Re UK Services, leveraging best practices and approaches.
- Attend and contribute to weekly regional TA meetings and offsites where appropriate.

Key Skills & Experience
- Demonstrable experience of recruitment admin either in Agency, in-house or RPO model or in an administration/coordinator role looking to move into Talent Acquisition.
- Experience in creating and sending out Offer Letters, Contracts and completing Background checks for new joiners.
- Experience working in a multi-brand or matrix environment would be an advantage.
- Experience working on or with an ATS or HRIS is essential.
- High level of IT literacy with advanced Excel skills.
- Excellent attention to detail.
- Excellent diary management and ability to quickly prioritise multiple tasks.
- Strong analytical skills, ability to identify inconsistencies, trends and patterns when presenting data.
- Strong influencing skills with stakeholders at all levels.
- Candidate relationship building and management skills.
- Comfortable working in an environment of ambiguity and change, with rapidly changing priorities.

In addition to the responsibilities set out above, the Head of HR Operations role will also become responsible for ensuring compliance with Munich Re’s Code of Conduct and the FCA Conduct Rules.
