We are looking for a PMO Analyst to join our team on a full time basis in our Manchester office. You will work closely with the Portfolio & Transformation Management Office Lead and the Associate Project Manager Apprentices to provide support with governing and reporting on the Portfolio of Projects including the support of key governance meetings such as the Change Committee and MRSG ExCo (Transformation).
The candidate should have experience in working in a portfolio office across the full spectrum of portfolio office services. The candidate will need to work closely with Business Project Managers to guide on the expectations of the full spectrum of portfolio office services.
Responsibilities- Carry out maintenance and system administration of the in-house project portfolio management system GoldMine, storing all imperative data on Projects, Programmes, and Portfolios. In addition, train and support users.
- Support Business Resource Management in order to reach an informed position of the scheduling of Projects and Programmes, including working with business functions to identify and build out resource availability.
- Manage the Portfolio calendar; co-ordinate the timely preparation of meeting packs according to Portfolio Governance and the Calendar.
- Support key portfolio governance meetings, including organising meetings from the PMO shared mailbox; gathering, preparing and circulating meeting materials; preparing and circulating decisions and actions; and updating governance logs.
- Monitor the shared PMO mailbox; triage requests and forward/flag these up to owners.
- Support the ongoing management of the project assurance process working collaboratively with the Portfolio & Transformation Management Office Lead.
- Support Portfolio governance services including but not limited to financial control, reporting, change control, planning, resource, forecasting, benefits management and RAID management.
- Champion project compliance with organisational standards (e.g. project management framework).
- Support assurance reviews from outside the team, providing required artefacts and liaising with relevant parties.
- Maintain templates for Governance artefacts Proposal, Business Case, Project Charter, Change Requests, Action Closure Documents, etc.
- Assist in the implementation of a governance process for the structuring, development, review, approval and filing of key Programme/Projects deliverables ensuring good quality and best practice is embedded throughout.
- Develop and carry out system administration of SharePoint “Change Hub”.
- Organise and coordinate cross-Programme tasks/actions providing “bandwidth” to the PMO Lead.
- Raise PO requests, approve (receipt) invoices, liaising with procurement, finance and compliance as required.
- Contribute to designing, producing and ongoing improvement of relevant and insightful MI on Portfolio performance and trends (e.g. finances, earned value, etc.).
- Support wider COO reporting, engaging with Change, Data and Operations Delivery.
- Help drive forward good Conduct for the business to deliver the best outcomes for customers/policyholders.
- Any additional duties and responsibilities that may reasonably be expected to be undertaken in accordance with the role.
- Experience in project and programme delivery, in a PMO and/or project management capacity.
- Experience in a Financial Services environment, ideally Insurance.
- Structured and logical thinker, being able to plan and organise work coherently.
- Quality-driven individual, constantly challenging outputs/mechanisms/approaches for ongoing improvement.
- Ability to follow leadership, but also to operate with autonomy and make judgment calls.
- Strong coordination and organisational skills to lead with autonomy tasks delegated from the PMO Lead.
- Strong interpersonal and communication skills.
- Ability to manage and communicate with senior stakeholders.
- Proactive rather than reactive attitude, prepared to flag up portfolio-wide risks and help the PMO Lead in addressing them.
