We are looking for a PMO Analyst to join our team in London on a 12 month fixed term basis. You will work within the PMO of a strategic transformation programme. You should have experience of working in the Programme Management Office of a large programme of change and must be able to support the Programme Manager and work closely with Project Managers to challenge, recommend and cover the full spectrum of PMO duties. This role will provide exposure to areas which may not be considered traditional including the coordination of vendor management and reporting and financial management for the wider COO function.
Responsibilities
- Creation and day-to-day management of the governance of a large Programme including but not exclusively financial control, reporting, change control, planning, benefits management, RAIDs management.
- In association with the Project Manager(s), creation and maintenance of a resource demand forecast, liaising with resource managers to secure the appropriate resources, and keeping these aligned and up to date in GoldMine (in-house project portfolio management tool).
- Developing Programme Governance artefacts e.g. Project Proposal, Project Charter, Change Requests, Action Closure Documents, etc.
- Assist in the implementation of a governance process for the structuring, development, review, approval and filing of key Programme/Projects deliverables ensuring good quality and best practice is embedded throughout.
- To prepare and deliver programme reporting so that all relevant stakeholders receive concise, accurate & timely reporting appropriate to their needs; and so that key information and decisions are shared at the appropriate level.
- Produce relevant and insightful MI on Programme performance and trends (e.g finances, earned value, etc) that can be used operationally as well as at SteerCo level.
- Develop and maintain the programme schedule (plan), incorporating key elements of the constituent project schedules, covering work breakdown structure; validated resource allocation, critical path, etc.
- Investigate and introduce collaboration tools as required to support the flow of information and cooperation across Projects.
- Set up a programme calendar to gather regular status updates on the projects within the programme, to consolidate these on a timely basis into information packs for Programme Governance meetings, creating effective and professional presentations for SteerCo and other Exec meetings, organise and facilitate meetings, deputising for the Programme Manager as required.
- Documenting decisions and actions of Governance meetings.
- Manage programme finances including compiling forecasts, raising PO requests, approving invoices, liaising with procurement, finance and compliance.
- Conduct reviews at appropriate intervals to capture and make use of knowledge created delivering projects.
- Support the project teams’ usage of tools, and manage software application licenses.
- To manage the Programme Change Control process in respect of changes to baselined plans; to present Change Requests to the Steering Committee for approval; to re-baseline the plan as and when necessary.
Knowledge and Skills
- Highly structured and logical thinker, being able to plan and organise work coherently.
- High level quality driven individual, constantly challenging outputs/mechanisms/approaches for ongoing improvement.
- Follow the lead but with ability to operate with autonomy and make judgment calls.
- Strong coordination and organisational skills to lead with autonomy tasks delegated from the PMO Lead / Programme Manager.
- Strong interpersonal and communication skills.
- Proactive rather than reactive attitude, being able to anticipate Programme-wide risks and help the PMO Lead in addressing them.
- Extensive experience in project and programme delivery, in a PMO and/or project manager capacity.
