Role Overview
Manage the contracting process for global vendors and consultants across Scientific Affairs by driving contracting, invoice and accrual management, ensuring cost‑effective outsourcing, audit responses, process/SOP development and updates, and providing leadership and strategic direction to the Vendor Management group.
Key Responsibilities
- Manage Request for Information (RFI) and Request for Proposal (RFP) activities and support contract negotiations with vendors.
- Financial administration: monitor invoice payments, raise purchase requisitions (PR) & eCAFs for approval, upload into finance system, track spend against PRs/POs and update proactively.
- Collaborate with function leads, stakeholders (Legal, Quality, Finance, Procurement) for new vendor assessment, compliance checks, budget tracking, and identify efficiencies.
- Monitor Purchase Orders, values for contracts and running rates/accruals for key vendors/projects.
- Ensure MSA and SoW are in place, maintained, and appropriate for vendor activities.
- Line manage and lead Vendor Management group in Scientific Affairs.
- Support Scientific Affairs with process and SOP management.
Experience & Qualifications
- Previous experience managing external vendors to deliver outsourced activities efficiently and effectively, or experience in a pharmaceutical environment.
- Good understanding of pharmaceutical company structure and Scientific Affairs activities.
- Strong ownership and problem‑solving skills.
- Project management and planning capabilities.
- Excellent negotiation skills, especially for commissioning and overseeing vendor service delivery.
- Excellent communication skills and ability to engage with partners effectively.
- Excellent collaborator with strong customer and stakeholder focus.
