As a Contract Support Assistant, you will play a key role in supporting the operational delivery of our contracts by providing efficient administrative support to Contract Managers, Supervisors and Engineers.

You will help ensure the smooth planning, coordination and documentation of works, maintaining accurate records and supporting effective communication between site teams, customers and internal departments.

Key Responsibilities

  • Act as a central point of administrative support for Contract Managers, Supervisors and Engineers, ensuring the smooth day‑to‑day operation of contract activities.
  • Manage incoming telephone calls and emails professionally, directing enquiries appropriately and ensuring prompt responses to internal and external stakeholders.
  • Maintain accurate electronic and paper filing systems, ensuring documentation is organised, accessible and compliant with company procedures.
  • Coordinate daily schedule updates, recording absences, call‑outs, work allocations and operational changes to support efficient resource planning.
  • Prepare and distribute route sheets, work schedules and associated documentation to operational teams in a timely manner.
  • Support the preparation and processing of plant sheets, internal plant documentation, PPE requests, drawings and other operational records required for contract delivery.
  • Coordinate strip‑outs, equipment collections and non‑collection follow‑up activities, liaising with site teams and customers to ensure timely resolution.
  • Maintain testing schedules and update records as new projects and requirements are identified.
  • Scan, file and maintain test certificates, internal test reports, dynamic risk assessments and other compliance documentation, ensuring records remain current and readily available.
  • Support health, safety and environmental administration, including maintaining SHE logs, updating records and assisting with the management of safety documentation.
  • Assist with the preparation, pricing, submission and tracking of variations, record vouchers and small works documentation, ensuring accuracy and compliance with company procedures.
  • Produce and maintain operational spreadsheets, reports and performance data, including variation statistics and customer feedback records.
  • Support sourcing activities and raise purchase orders as required, ensuring accurate records and timely procurement of goods and services.
  • Arrange site deliveries, collections and inductions, coordinating with customers, suppliers and operational teams to support project requirements.
  • Prepare operational documentation including testing certificates, customer correspondence, lighting letters and contract‑specific information as required.
  • Contribute to continuous improvement initiatives by identifying administrative efficiencies and supporting the development of effective working practices.
  • Champion exceptional customer service, building strong working relationships through professionalism, responsiveness and a commitment to delivering positive outcomes.

  • Experience in an administrative, coordination or support role is desirable but not essential.
  • Previous experience within a construction, engineering or operational environment would be advantageous.
