Overview: Planner (Facilities Management) — Location: Manchester City Centre. Hours: Monday to Thursday 8.00am – 5.00pm, Friday 8.00am – 5.00pm (work from home). Working pattern: Office-based 4 days per week, WFH Fridays. Pay rate: £12.85 per hour.
Multitask Personnel are pleased to be working in partnership with a well-established Facilities Management provider to recruit an experienced Planner to join their Manchester-based team. This is a fast-paced, operational role supporting FM service delivery through effective resource planning, scheduling and coordination. You’ll be working as part of a small, close-knit team and will play a key role in ensuring engineers are deployed efficiently and jobs are completed within SLA.
The role: As a Planner, you will be responsible for scheduling and booking works, managing high volumes of communication and ensuring resources are aligned to demand. You’ll be handling a busy inbox (100–150 emails per day), prioritising jobs based on urgency, location and resource availability, and resolving scheduling conflicts proactively. This role requires someone who thrives in a high-pressure environment, is highly organised and confident making decisions.
Key responsibilities:
- Resource planning, scheduling and booking FM works
- Prioritising tasks based on urgency, location and engineer availability
- Managing a high-volume inbox and responding efficiently
- Maintaining accurate scheduling systems and resolving clashes proactively
- Communicating clearly with engineers and internal operational teams
- Supporting reporting and performance tracking related to resource utilisation
- Ensuring accuracy and attention to detail across scheduling and data entry
About you:
- Previous experience in an FM planning or scheduling role
- Comfortable working in a fast-paced environment with high workloads
- Strong organisational skills with the ability to manage multiple priorities
- Excellent Excel skills, including sorting, filtering and basic data analysis
- Clear and confident communication skills, both written and verbal
- Ability to work independently and make decisions under pressure
- Experience using scheduling or CAFM systems is advantageous
